Job Summary:
 To provide a courteous reception service to patients and clinicians in line with office
procedures, contributing to the overall efficient and effective running of designated
Finchley Memorial and Royal Free SACT:
 To work closely with nursing and medical staff to ensure that any issues in clinic
are raised immediately to maintain an excellent level of service to patients.
 The post-holder will work as part of Finchley Memorial and Royal Free SACT team, ensuring and efficient, high quality and timely service is provided. This includes providing a welcoming and professional service to patients when manning the reception at Finchley Memorial and Royal Free SACT.
 To manage the booking of designated follow up clinics and ensure that these are booked efficiently and that any booking issues are raised immediately with medical staff to ensure patient care is not compromised.

We are looking for aBand 3 Admissions Administrator for the Chemotherapy Suite of Finchley Memorial and Royal Free Hospital. The successful candidate will be expected to provide a courteous reception service to patients and clinicians, work closely with nursing and medical staff, manage the booking of designated follow up appointments and work effectively as part of Finchley Memorial and Royal Free SACT team.

The successful candidate is required to be able demonstrate the Trust values, the responsibilities of the job description and person specification. In particular you should have proven experience of working in with the public in an administrative position. You will be expected to give excellent customer care in a busy and high pressured working environment, working across multiple out-patient clinic locations. You should also have excellent communication and interpersonal skills and a high attention to detail and accuracy.

1. ROLES AND RESPONSIBILITIES
Reception:
 To greet patients in a courteous manner and check them into clinic on arrival via the
current electronic systems in line with the trust out-patient operational work processes
 Ensure administrative cover during clinic times, communicating with supervisor if any
problems.
 To check out patients on the EPR system after consultation ensuring all appropriate
data is recorded accurately in a timely manner in line with the information on the clinic
outcome form or in line with departmental procedure when there is no outcome form
 Ensure that ‘walk-in’ (WI) patients (not entered on the clinic list) are registered onto
EPR and Chemo Care as appropriate.
 Ensure that all Choose and Book and DNAs are actioned appropriately at the end of the clinic
 To deal sensitively and discreetly with patient’s queries both in person and by telephone.
 Excellent communication skills are needed to overcome barriers of understanding
 To actively keep patients informed of any delays in clinic via notice boards and in
conjunction with nursing teams
 To make follow-up appointments ensuring the patients are booked into the appropriate
clinic and are given an appointment within the clinically agreed timescale at the time of
clinic
 To control the number of patients per clinic ensuring that clinics are not overbooked
and to advise the Out-patient supervisor of any capacity problems within clinics.
 To liaise closely with clinical teams to ensure mutual understanding of clinic rules and
capacity issues that could compromise the booking of follow up patients within clinical
timescales.
 To work with nursing staff while in clinic to ensure all clinic outcome forms are
completed accurately and entered onto Cerner.
 Direct patients after consultation to various department for specific tests
 To help with printing EPR cover-sheets for any relevant documents generated on clinic.



This vacancy has been advertised in accordance with the new NHS pay rate which will take effect from autumn 2024. Please note if your employment starts before the 24/25 pay scales are implemented you will be paid under the 23/24 pay scales and any backpay will be adjusted accordingly.
