Summary
Main point of contact for Child Protection matters. Print of email requests, complete and return. Read code onto clinical system The administration of medical reports, medical examinations, raising invoices for payment and ensuring payment has been received Copies of notes and SAR requests Minute taking and ensuring all subsequent actions are carried out Ad-hoc Practice Manager support requests Responsible for the training of locality practice staff To assist the Practice Manager in the roll out of new programmes First line responsibility for dealing with reception staff prescription queries and general queries Human Resources: Assist the Practice Manager and HR in the recruitment of all Reception and Admin staff. Organise and arrange interviews Be involved in the interviewing of admin, reception staff with the Practice Manager To be responsible for the training and development of reception, admin staff on any new clinical system initiatives To be responsible for ensuring mandatory training is booked and carried out by all Practice staff within the time constraints To be responsible for undertaking annual performance appraisals for the Reception / Admin staff together with the Practice Manager and follow up matters arising from the appraisals. To assist the Practice Manager performing 3 and 6 month reviews for new employees Looking after the welfare of all reception, admin staff Organisational: To manage the computerised appointment system, to ensure that all appointment clinics for all the clinicians are entered onto the appointments system a least a minimum of one month in advance System One clinical maintenance Rolling clinics forward amendments Amending System One templates and rotas To manage the diary for all clinicians' holidays etc. and to make sure all the information is incorporated into the appointment schedules To be responsible for the maintenance of the holiday register for non-clinical staff Responsible for logging SIRMS incidents and actioning response and recommendations Responsible for the processing of the monthly PPA administration Manage room bookings to ensure they are available for attached staff Liaising with the contract cleaners and or housekeeping to ensure a high standard of cleaning the premises To manage the ordering of stationary toners and ensure effective stock control Arrange for property Maintenance to carry out any urgent repairs needed to the premises To be responsible for ICE queries To be responsible for reception area campaign management and upkeep To provide support advise and training for current and new Practice staff in the use of the clinical system Data Management To manage the recording of patient attendances at the surgery and A and E and production of audit reports on a regular basis including patients who have failed to attend DNA's Produce reports to be displayed in waiting area To be responsible for the maintenance of the Accurx system To oversee the security and validation processes for the Clinical System Working Relationships To work as a flexible member of the team to ensure the smooth running of the practice and providing support to the other team members when necessary Equality and Diversity The post-holder will support
