Summary


We currently have a great opportunity for an experienced staff member to join our team. The post holder will work in a fast-paced environment, supporting and managing the eRostering daily tasks, training, reporting and help desk queries.We are looking for enthusiastic individual with an outgoing personality and excellent customer service skills to enhance our service.



The successful candidate will be responsible for the day-to-day queries, management of their own division and overall rostering support. Main duties of the job are:
• Helpdesk support – maintenance issues, investigating and problem solving.
• Running and collating reports which may include reports to Board and Senior Management as required (annual leave, Net hours, SafeCare+ More)
• Delivering HealthRoster & SafeCare training
• Cover for Easy expenses, ESRgo & Safecare
• Organising Meetings and more

Excellent communication skills are essential as the post requires the ability to develop and maintain professional working relationships with Ward/Department Managers, HR colleagues and end users. You should also have excellent IT skills, and confidence in producing and analyzing reports, identifying areas that require improvement and monitoring KPIs.

The partnership between Barnet, Enfield and Haringey Mental Health NHS Trust (BEH) and Camden and Islington NHS Foundation Trust (C&I) is going from strength to strength since it was originally established in 2021 forming the North London Mental Health Partnership.



In order to meet the needs of the new Partnership services you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that fall under Barnet, Enfield and Harringay Trust and Camden and Islington Trust.

The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.





Helpdesk/Administration

• Provide 1st line support over the telephone, HealthRoster and Safecare inbox issues & enquiries from end users partnership wide.

• Provide 1st line helpdesk support - investigating, problem solving and dealing with system maintenance issues.

• Responsible for closing all ‘resolved’ queries within a timely and professional manner.

• Assist in testing system developments and software upgrades providing comprehensive feedback of testing results.

• Responsible for organising and arranging meetings; making room bookings, organising

agendas and taking notes.

• Responsible for problem solving staff queries about the use and functionalities of HealthRoster; answering in line with Partnership guidance and governance requirements.

• Responsible for some basic maintenance and audit of the HealthRoster data and databases as and when required.

• To be proactive in the development and maintenance of the Teams Standard Operating

Procedures. Amending existing SOP’s and creating new SOP’s for new system users.

• Maintain and update the Teams Intranet page with events, training events, new user manuals or amendments, publications, SOP’s and FAQ’s.

• Responsible for data gathering exercises to support the HealthRoster Implementers.

• Responsible for taking ownership of the named TUPE process working with the HRBPs and

HealthRoster Implementer.

• Maintaining and conducting audits of user access on HealthRoster.

• Planning and organising your own workload to ensure HealthRoster operates effectively.

• Supporting HealthRoster Implementers with any HealthRoster related projects.

• Work autonomously within specified deadlines.

• To carry out other appropriate delegated duties as required (EASY Expenses, ESRGo, NHSP, AOB).

• Ensure that appropriate cover is in place for the service needs.



Payroll

• Responsible for the 1st line support with payroll issues resolving them in a timely and professional manner by liaising with the internal and external payroll teams.

• To be responsible for closing all ‘resolved’ queries within a timely and professional manner.

Provide 1st line support with Payroll on HealthRoster finalisation errors.

• Provide 1st line support with Payroll on ‘test files errors’.

• To liaise with Service Managers who haven’t finalised on time by sending a chaser email to the Service Manager before final submission to payroll.

• Responsible for the monthly payroll submission process.

• Responsible for the daily ESRGo GOC files – by working in rotation within the team.

• Responsible for the monthly payroll for enhanced payments – working in rotation within the team.

• Support the HealthRoster Implementers with establishment reconciliations in ESR and HealthRoster.



Communication & Training

• Assist in the communication plan for Healthroster, providing regular updates to staff and managers on the system developments and process requirements.

• Present a calm and friendly image to the service users.

• Recognising and responding to customers’ needs.

• Ensure an effective and efficient first point of contact is provided to all customers and visitors.

• Deal with all general enquiries, communicate procedures and make new and follow-up appointments.

• Provide training, advice and assistance to end users.

• Responsible for arranging training events, workshops and ad-hoc training for end users in conjunction with the HealthRoster Implementers.

• Maintain and update HealthRoster training manuals and training materials in accordance with HealthRoster system development.

• To travel efficiently as required accommodating needs of the service.



Reporting:

• Responsible for supporting with the production of basic HealthRoster reports to the

HealthRoster Service Users.

• Running and collating reports which may include reports to the Board and Senior

Management as required.

• Responsible for supporting the HealthRoster Implementer in analysing the Key Performance

Indicators for their Service, providing key narratives to the data.

• Developing and maintaining an effective centralised e-Rostering system, to ensure that

information is kept securely and is accessible to other members of the team.
