The Maternity and Neonatal (MNP) Programme has an exciting opportunity for a talented and experienced Business Coordinator to join their PMO team.

The postholder will work as part of a dynamic team, supporting the PMO Team and staff across the team to deliver projects and programmes of work on time and to the highest quality.

This individual will need to be able to work both independently as well as part of a wider team and in addition to their excellent organisation, communication and project support skills will also possess excellent interpersonal and influencing skills at all levels to be able to engage with a wide range of stakeholders.

The post holder will work directly in the PMO team and provide support to the wider MNP and with the Chief Midwifery Office as required.

Key project areas include:
• Responsible for supporting and coordinating programme management functions within the PMO team in the Maternity and Neonatal Programme.

The post will be:
• Managingthe Correspondence and Briefings mailbox and coordinate responses to Parliamentary Question’s, FOIs, Correspondence and Ministerial Briefings.
• Managing and prioritising correspondence for the PMO, demonstrating a high level of accuracy, discretion and confidentiality while ensuring responses to deadlines are met.
• Responsiblefor managing business cases through the Atamis system.
• Responsible for raising purchase orders through Oracle.
• Supporting withthe finance and budgetary functions within the programme, including receipting, auditing, transfers and forecasting.
• Supporting the Senior Project Manager with business planning and finance tracking to ensure the Programme Delivery Committee have oversight of the programme budget and spend, ensuring fiscal responsibility in line with NHS England policy.
• Providing project support, including running in-person events and teams webinars.
• Coordinatingbriefings relating to assigned projects as required, contributing to wider of the work of the maternity and neonatal programme.
• Providing support with travel, accommodation and venue bookings.
• Supportingthe organisation and delivery of governance meetings.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.

Staff recruited from outside the NHS will usually be appointed at the bottom of the pay band.

The post holder will work closely with PMO colleagues and the wider MNP team to support the delivery of NHS England’s aims and objectives, ensuring that business functions are carried out accurately and timely in line with Programme need.

This post will include the following duties:
• Managing the Correspondence and Briefings mailbox
• Coordinating responses to Parliamentary Questions, Freedom of Information requests, Correspondence and Ministerial Briefings.
• Providingand receiving complex or sensitive communications.Maintaining comprehensive documentation in line with NHSE recording keeping standards.
• Support with the finance and budgetary functions within the programme, including transfers and forecasting.
• Support the Senior Project Manager with business planning and finance tracking to ensure the Programme Delivery Committee have oversight of the programme budget and spend, ensuring fiscal responsibility in line with NHS England policy.
• Ensuring excellent communication with internal and external stakeholders, including National Specialty Advisors, Department of Health and Social Care, Regional Teams.
• Managementand secretariat of meetings
• Supporting the wider MNP workstreams as/when needed.
