Summary
Main Duties:
Meet and greet visitors to the office and provide refreshments
Receive and make phone calls and provide the main cover for incoming calls
Taking and passing on messages to appropriate staff
Using email and electronic messaging
Use Outlook diary system to record meeting dates, plan reminders, invite attendees
Manage the stock of stationery items and complete orders for checking/ authorising
Receive parcels and deliveries as required
Ensure all telephone lists and contact details in the office are up to date
Take calls and complete candidate details in respect of candidates for recruitment of staff
To ensure that the reception area is kept tidy.
To organise the ordering and delivery of office resources as requested by staff and manager
Finance Duties:
Process all incoming invoices
Check accounts statements ensuring all invoices for the month end have been processed
Assist processing of site delivery notes
Training
Business Administrator Level 3
Qualifications required
GCSE's grades 4/C and above in Math and English
Skills required
Willingness to attend events and to undertake training in relation to technical compliance subject matter.
Experience in the use of IT and PC packages including excel, word, email and web based packages.
Excellent administration skills, record keeping, data input
Excellent communication skills both verbal and written.
Ability to use initiative.
The ability to multi-task and prioritise requirements.
Prospects
Upon completion of the apprenticeship there is opportunity to progress into the following roles; Payroll officer, Contract Surveyor and Accounts Assistant.
Qualification / Standard : ST0070 Business administrator
Duration 16 months
