Summary
We are seeking a dedicated and efficient Office Receptionist/Admin to join our team. This role requires a highly organised individual who can manage administrative tasks while providing a welcoming and professional front-of-house presence. This position will be responsible for delivering administrative support and outstanding customer service at our new office in Radlett, Hertfordshire. The ideal candidate will be organised, proficient in clerical tasks, and possess strong communication skills. This role is vital in ensuring the smooth operation of our office and providing top-notch support to the office and visitors.
Key Responsibilities:
Office Management:
- Oversee daily office operations, ensuring a smooth and efficient workflow.
- Manage office supplies and inventory, placing orders as necessary.
- Handle administrative tasks such as filing, data entry, and correspondence efficiently with accuracy.
- Coordinate maintenance and repairs for office equipment and facilities.
- Assist in preparation of reports, presentations, and other documents.
- Collaborate and coordinate with all departments within Ness M Care to ensure proper administration and work efficiency.
Reception Duties
- Greet and welcome clients, visitors, and staff in a friendly and professional manner, provide refreshments and arrange taxi services as needed.
- Answer and direct incoming calls, taking messages as needed.
- Manage the reception area, ensuring it is tidy and presentable.
- Schedule appointments and manage the office calendar.
- Handle incoming and outgoing mail and deliveries.
General Duties
- Fleet Management – Monitor the company’s fleet of cars, notify management of upcoming MOTs, and ensure road tax deadlines are met in collaboration with Accounts Department and COO.
- Staff Welfare: Plan, order, and distribute PPE to various regions.
- Correspondence Handling: Collect and distribute mail, send documents via the post office, and coordinate long and short-haul courier services.
- Maintain confidentiality and security of client and company information.
- Assist with organising company events, meetings, and training sessions.
- Provide support to other team members as needed.
- Ensure compliance with company policies and procedures.
Requirements
- Proven experience as a receptionist, office manager, administrator or similar role.
- Excellent organisational and multitasking abilities.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Ability to handle confidential information with discretion.
- Ability to work independently and as part of a team.
- High level of professionalism and attention to detail.
- Familiarity with office equipment and basic troubleshooting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Desirable:
- Previous experience in a care services or healthcare environment.
- Knowledge of administrative and clerical procedures.
- Understanding of health and safety regulations.
