Summary

NRL are proud to be partnering with a newly formed company who will operate and maintain all HV Networks on the Teesworks site as well as all the capital build of new networks and substations which is a £190m capital program.

We are currently seeking an experienced Executive Assistant / Office Manager with experience in the engineering or construction sector to play a key role in our team.

Job Summary:
We are looking for an experienced Office Manager to oversee the daily operations of our office and support our team. The ideal candidate will have a strong background in office management and experience as an Executive Assistant within either the construction, engineering or utility industries and will be adept at managing a wide range of administrative and operational tasks. This role requires exceptional organisational skills, attention to detail, and the ability to handle multiple priorities efficiently.

Outline and Responsibilities:
Office Management:

- Set up systems for the day-to-day office operations
- Coordinate maintenance and repair services for office equipment and facilities
- Ensure the office environment is clean, organized, and conducive to productivity

Administrative Support:

- Provide administrative support to senior management and project teams, including scheduling meetings, managing calendars, and coordinating travel arrangements
- Act as an Executive Assistant to the Directors
- Prepare and edit correspondence, reports, presentations, and other documents as needed including the compilation of Board Reports
- Handle incoming communications, including emails, phone calls, and mail, and respond on behalf of the team when appropriate

Human Resources Support:

- Assist with HR functions, including onboarding new employees, maintaining employee records, and coordinating training and development activities
- Support the implementation of HR policies and procedures

Financial Management:

- Assist with budget preparation and expense tracking
- Manage accounts payable and receivable, and coordinate with the finance department on financial matters
- Process invoices, expense reports, and purchase orders

Project Coordination:

- Assist project managers with project documentation, scheduling, and resource allocation
- Track project progress and ensure deadlines are met, providing updates to management as needed


Communication and Liaison:

- Serve as a point of contact between the office and internal/external stakeholders, ensuring effective communication and follow-up
- Facilitate the flow of information within the office and across departments
- Liaise with and manage the requirements of the Directors

Document Management:

- Maintain and organise office files and records, ensuring easy retrieval and secure storage
- Develop and implement efficient systems for document management and information flow

Team Leadership:

- Foster a positive and productive work environment
- Promote collaboration and effective communication within team

- Strong written and verbal communication skills.
- High level of discretion and confidentiality.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and attention to detail.


Experience and Qualifications:
Experience:

- Minimum of 5 years of experience in office management, with a strong background in the construction, engineering, or utilities sectors.
- Proven experience in managing office operations and supporting senior management.
- Proven experience in under taking the role of Executive Assistant to Directors

Technical Skills:

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Familiarity with project management tools and software is a plus.
