Summary

GENERAL DUTIES: To provide a point of contact for patients and navigate their care where required. Act as focus of communication between the clinicians and patients. KEY TASKS: 1. Reception: Making appointments. Organising computerised appointment system. Taking details for prescriptions and sending requests to the clinicians. Dealing with enquiries efficiently and, where necessary, passing the enquiry to the appropriate person. Using the EMIS and Docman clinicals systems for sending messages to other staff members and utilising the workflow system for correspondence. Adhering to the morning and weekly reception checklists, ticking each task when completed. Explaining practice arrangements and requirements to new patients. Directing patients to correct waiting area and monitoring the flow of patients into the consulting rooms. Entering requests for home visits on the computer, including all relevant information. Processing patient referrals to other services and ensuring there are completed in a timely fashion. Opening incoming mail and distributing as necessary. Sending out letters for patient annual reviews when requested to do so. Ensuring all DNAs are followed up in line with practice guidelines, using the spreadsheet provided. Contacting patients by telephone or letter to advise them if they need to attend the surgery. Monitor all laboratory blood/urine test results, and allocate any unmatched results daily, distributing to the appropriate clinician. Action all tests results that are sent via tasks daily. Manage orders of laboratory pathology bags and specimen containers as needed, using the appropriate request forms. Shredding letters and documents. During the Influenza season, contacting patients in the appropriate manner by telephone or letter, to arrange appointments. Keeping a regular check on the Flu register lists and making every effort to get each patient seen. 2. PATIENT RECORDS Extract and file records for GP/Practice Nurse, ensuring alphabetical order is adhered to. Tag new patient records when received into the Practice. Updating patients computerised records by inputting read codes for smears, diabetic retinopathy, x-ray results etc. Enter registration details onto the computer for newly registered patients. Scan documents and link scanned documents into patients computer records. 3. SECURITY Ensure prescription pads and prescriptions/sick notes awaiting collection are locked way at the end of the day. Ensure you have logged off and switched off computers. Understanding Information Governance, ensuring data protection and confidentiality are always adhered to. 4. GENERAL Attends external and internal training courses as deemed necessary. Any other delegated duties considered appropriate to the post. Adhere to the practice Health and Safety and Infection Control Policy, and all related audits/risk assessments that may require the input of administrative staff. All staff must ensure they prevent, where possible, the spread of any infectious disease. They must be mindful of their own safety at work and ensure the safety of others via their own actions.
