Summary


An exciting opportunity has arisen in our Social Work Team. To provide efficient, effective and timely administrative support for the Social Care Admin and Social Work Team.

To provide an efficient Admin provision to the Social Care Team as a whole. This will involve working alongside the Administration Team ensuring that support is given to Heads of Service, Social Work Managers, Social Workers and outside agencies.

Minuting of complex and sensitive meetings are a key part of this role along with ensuring our packages of care are loaded accurately and in a timely way in order that providers are paid correctly.

1. Undertake financial and general administrative tasks to support the service.
2. Responsible for processing of financial information on the Local Authority Systems and assisting in keeping accurate record of transactions. This includes the processing of invoices for provider.
3. Supervise other administrative staff including undertaking appraisals, supervision, training and development of Band 3 and Band 2 staff.
4. Provide information and support to managers on the performance and conduct of members of staff and support with all informal and formal processes.
5. Allocate and supervise administration tasks delegated to other members of the administration team.
6. Support managers with the recruitment process and ensure that newly appointed staff undergo their local and Trust inductions.
7. To deal discretely and efficiently with telephone calls and to relay messages in an effective, courteous and professional manner, conveying a high level of customer care.
8. To liaise with service users, relatives/carers, General Practitioners, other Consultants and medical staff, Community Services and any other Agency in an efficient manner.
9. Ensure an accurate, confidential and effective service by maintaining up to date filing systems (paper and electronic) and security of information in accordance with the policies and procedures of the County Council and relevant legislation.
10. Assist in the delivery and development of the service using both Local Authority and CPFT IT systems. Using information systems to generate reports, documents, letters and emails.
11. Servicing meetings – arranging dates, venues, preparing papers and agenda and minute taking as appropriate.
12. Liaise with partner agencies to ensure appropriate service delivery.
13. To record and maintain the integrity of data/information using agreed procedures to enable safe storage and prompt retrieval of information on the computer/IT system.
14. To ensure that all correspondence is copied onto the Trust and Local Authority electronic records system in a timely manner.
15. To be aware that all work dealt with is of a highly confidential and sensitive nature and to comply with the requirements of the Caldicott Report, the Data Protection Act, Access to Health Records Act and subsequent legislation issued in relation to confidential data.
16. To assist, when required, with the work of other administrators within the team and to provide ad hoc assistance to the Social Care/Work team as and when necessary, especially in the event of absence due to annual, study or sick leave.
17. To ensure that all duties are carried out to the highest standard, and in accordance with current quality initiatives within the work area.
18. The post holder must at all times carry out their duties with regard to the Trust Equal Opportunities Policy.
19. Develop own skills and knowledge and contribute to own personal development in line with the NHS Knowledge and Skills Framework (KFS)
