Summary
The position of Assistant Reservations and Events Manager (full time, permanent role) has become available at Courtyard by Marriott Edinburgh West. Reporting into the Reservations and Events Manager, you will be responsible for handling new enquiries for individual and group bookings, organising meetings and events and creating function sheets from a diverse customer base of sports groups, leisure groups, corporate meetings and agencies.
The successful applicant for this role will deliver excellent customer service and have strong administration and computer skills with a good telephone manner, have a positive and confident ‘can do' attitude, be willing to learn and show that they care.

Working knowledge of MARSHA and OPERA, or other hotel reservations systems, is preferred but not essential.
A good knowledge of Microsoft Systems
Experience of working in a similar role is preferable but not essential as full training will be provided.

Enthusiastic positive attitude, flexible and adaptable.
The Role
To contribute to the day-to-day operation of the Reservations and Events department, ensuring that all systems are balanced and procedures are followed.
To provide a high level of customer service and meet the brand standard for all reservations and event enquiries.
Management of the Reservations Inbox, replying to customers in a timely manner
Handling of telephone enquiries for transient, group and event enquiries.
Take a positive approach towards upselling and confidentiality promote the product in order to maximise hotel revenue to meet and exceed hotel budgeted targets.
Positively impact the volume of repeat business.
Ability to communicate effectively with customers and staff at all levels and build rapport.
Liaise with hotel departments on a day-to-day basis, enabling the operations team to plan and deliver all customer service requirements. This includes but isn’t limited to updating the hotel team on any special event requirements and arrival of VIP guests.
To be able to act with initiative and forward plan for future events, being pro-active in getting things done and exceeding expectations of both guests and colleagues where possible.
Involved with all aspects of reservations and events, from initial enquiry including site visits, issuing proposals and contracting clients through to post event billing and ownership of client feedback.
Adhere to all appropriate brand Standard Operating Procedures.
Perform other tasks at the level of the role as directed by your line manager in pursuit of the achievement of business goals.
Assist other departments where required in line with the business needs.
Have the desire to improve your knowledge and abilities through on-going training and development.
Conduct weekly Operations meetings in the hotel to review and discuss upcoming events.
Attend daily hotel morning brief meetings to communicate daily events and customer requirements with operations team.
Attend weekly revenue meetings in the absence of Reservations & Events (R&E) Manager
Acting R&E Manager when R&E Manager is out of office
Compiling the appropriate reports using hotel systems and other software such as Microsoft Word and Excel, to assist with strategic decisions.
Inventory management, system balancing and selling strategy.
To undertake duty manager shifts when required.
To ensure that the company’s credit policy is adhered to across the team and become actively involved in the hotel credit meeting.
Commission authorisation and processing.
Ensure all client invoices are checked and sent in a timely manner, and where required pre-payment has been received.
Support the Director of Sales at hotel showcase events when required.
Handling and ownership of customer complaints using the LEARN process and handing over to relevant department where necessary.
This role is suitable for someone who has previous experience in a similar role, or someone who is looking for the next step in their career.
