Summary

Key duties and responsibilities include: Positively promote the academy and reflect its vision. Be responsible for handling/responding to the day to day queries directed to the gtd academy and respond in a timely manner. Support the annual review of the mandatory training modules and matrix by role and action any changes required. Oversee the day to day function and maintenance of the academy learning management system (LMS), and others as may become used. This includes: Adding new starters and removing leavers, setting up profiles and coordinating log in details, administering changes to users profiles. Ensuring the LMS user profiles are maintained as per the agreed mandatory training matrix, including administrative system changes where required. Support the business with making changes to the LMS as may be required e.g. new functionality, change in how the system is used. Deliver training to managers and staff on how to use the LMS and provide support with day to day system use and uploading evidence of training/certificates. Support with creating supporting documents to help managers and staff use the system, e.g. user guides, and ensure these are kept up to date. Generate relevant reporting (e.g. mandatory training and appraisal compliance), meeting internal deadlines and responding to ad hoc requests i.e. training attendance reports in a timely manner. Provide administration support for training sessions, including coordinating dates/times, producing flyers and advertisement, managing the booking process/attendance list, liaising with trainers. Support with assessment of completed training sessions on a regular basis, including staff attendance, evaluation forms and other feedback, and support with responding to recommendations for how to develop/improve moving forward. Provide administrative support to meetings related to the academy, e.g. Learning and Development (L&D) forum and academy committee. This will include preparation of agendas, circulation of meeting documents recording attendance, taking minutes, updating and monitoring action logs, etc. in a timely manner. Organise and support the creation and distribution of internal and external academy material, e.g. extranet, academy weekly and quarterly newsletters, webpage and event resources. Ensure the study leave policy is adhered to and managing applications for study leave, i.e. training agreements and study leave application process including monitoring of mandatory training compliance and other pre-approval academy checks. Ensure various forums are coordinated, facilitated and key information is shared with the wider organisation including setting up timetables, creating flyers and ensuring the extranet is maintained i.e. events calendar and forum page. Support with sourcing subject experts to attend / input into ad hoc events, e.g. forums, celebration events, as required. Support with the organisational training needs analysis and academy actions output from training needs working groups. Support facilitation of training sessions i.e. room set up, assist with activities, handout resources, technical support e.g. microsoft teams breakout rooms. Ensure required resources and training rooms at sites are maintained in readiness to deliver training. Work closely with academy team members and the corporate affairs team to contribute to/lead on and maintain academy communications, resources, communication networks and social media pages to ensure content remains current and refreshed. Provide administrative support for any ongoing, new, and ad hoc projects and initiatives undertaken by the academy team. Work closely with the wider academy team to provide support and ensure positive team working. Regular attendance at academy-related meetings, for example learning and development forum, project meetings etc. Ensure that internal training needs are met by supporting with sourcing relevant external training providers / courses, liaising with external contacts and helping to develop bespoke packages, where required. Support the booking process for external attendees to access gtd academy training. Contribute to maintaining GDPR compliance in our data processing activities by ensuring employee data is processed in line with regulations, and disposed of accordingly. Promote equality and diversity as part of the culture of the organisation. Undertake any other reasonable tasks as directed from time to time by the academy manager. Other duties: Any other duties, as agreed with the line manager to meet the needs of the organisation. This may include travel to other sites within the organisation.
