Are you the right person for the job?

• Proven experience as an office administrator, office assistant or relevant role
• Outstanding communication and interpersonal abilities
• Excellent organisational and leadership skills
• Familiarity with office management procedures and basic accounting principles
• Excellent knowledge of MS 365 Office, I particular Excel and Teams. Ability to learn block management software (Resident)
• Qualifications in administration studies will be an advantage

What will your role look like?

• To provide efficient and professional day to day administration support
• To develop a good knowledge of the company
• To have professional competence in all aspects of internal and external customer enquiries and to ensure that all customers receive a courteous, approachable, helpful and professional service
• Manage phone calls and correspondence (e-mail, letters, deliveries etc)
• Take responsibility for queries and handle them as appropriate
• Deal with all administration tasks required to ensure that the department runs smoothly, including financial procedures, reconciliation of client accounts through Resident Software
• Manage own workload and complete tasks promptly to achieve results
• Identifying any potential issues with processes and escalating appropriately
• Responsible for owning and proactively managing tasks to a successful conclusion
• Ensuring the sharing of best practices with colleagues as appropriate
• Ensure all electronic and paper records are kept up to date following GDPR guidelines. Set up new records where required
• Deal with sensitive information in a highly confidential manner at all times.
• Filing and archiving
• Assist colleagues whenever necessary
