Summary

Job Title: Administrative Assistant 

Plant Dewi is a family support project. It has a remit to nurture families and strengthen communities in the Diocese of St Davids through its five areas of work; family centres, families together groups, work with young parents, work with dads and Baby Bundle.  

Main Purpose
The Administration Assistant is a new role within the Plant Dewi project. The post holder will have a remit to provide assistance to the Plant Dewi management team through completing day to day administrative tasks. The post holder must have knowledge and experience of Microsoft Office and other IT programmes. The post holder will at all times respect the confidential nature of the post. 

The post holder will be a champion for the compassionate ethos of Plant Dewi, which is rooted in its Christian values of showing love, kindness and hospitality to those in need, ensuring services are delivered in accordance with principles of equality of opportunity

Main duties

GENERAL:

Answering and directing phone calls

Writing and distributing emails, correspondence memos, letters etc

Maintaining contact lists

Assisting with arranging meetings and events

HR:

Assisting in the recruitment procedure by preparing and distributing documents including job adverts, application packs, letters etc

Carrying out pre-employment checks including DBS checks

Creating and maintaining electronic personnel files

Assisting with the administration of other HR related forms

OFFICE

Ordering stationery and office supplies

Providing suppliers with timely information e.g. meter readings

Photocopying as and when necessary

Maintaining the office calendar

Assisting with ensuring the office environment is suitable for use by staff for meetings/groups/events etc

FUNDRAISING

Maintaining a stock of fundraising supplies

Monitoring and distributing fundraising supplies

Ensuring that all fundraising donations are acknowledged in the appropriate manner

Liaising with the fundraising support groups and other supporters

Carrying out all other tasks as are commensurate with this post.
