Summary

Visitor Operations Manager

About the role

As a Visitor Operations Manager you will:

* Be responsible for the daily operations and the duty management of the building
* Oversee the front of house administration, including invoice processing, monitoring budget lines, record keeping and ordering stock.
* Line manage the front of house team and supervising extra staff on event days.
* Support the events set-up, greeting and logistics.
* Manage the ‘soft facilities’ contracts.

Your main responsibilities as Visitor Operations Manager:

* Oversee the smooth, safe running of all activity at the Mulryan Centre for Dance (MCD)
* Attend meetings, discuss with internal stakeholders and put together plans to ensure that all spaces are prepared ahead of scheduled requirements and appropriate resources coordinated
* Assist in overseeing that all building maintenance (lifts, plant and equipment) and office equipment (e.g. printers, kitchen equipment) issues are resolved in a timely manner, reporting to the Head of Building Operations, as necessary
* Act as a first point of contact in the building; delivering the highest level of customer service, both to internal and external customers
* Manage the building’s reception function – ensuring a high level of switchboard operation, message taking, enquiry answering, courier booking, room booking, representing ENB in a prepared and professional manner at all times.
* Duty manage and ensure the smooth delivery of large scale events.
* Lead, develop and manage direct reports, ensuring a high standard of work output, professional behaviour and resource management, with support for learning and development.
* Management of ‘soft facilities’ contracts e.g. cleaning, pest control, waste and recycling, printers, couriers, postage, mobile phones.
* Assist the Head of Building Operations in the creation and update of departmental policies and standard operating procedures as needed.
* Play a key role in the company’s Green Team, supporting initiatives, taking minutes at meetings, assisting with planning and implementation of the company’s Sustainability Action Plan.

Key Selection Criteria

As a Visitor Operations Manager you will need to demonstrate that you have:

* Experience of working in a supervisory or managerial role within Building Operations, Front of House, Venue Management, Events or similar, within the performing arts or cultural sector.
* Experience of working in a busy, customer-orientated environment.
* Experience of line management of direct reports and ability to support training, allocation of duties and rota management, creating an environment where team members can thrive.
* Experience of planning and managing logistics in a complex, lively building.
* Ability to work to a shift pattern including early morning, evening and weekend shifts.
