Helping the administrative operations of East Durham Trust and supporting our community projects and services

Role Outline

East Durham Trust is seeking a motivated and dynamic Administration and Operations Officer to support the administration of a range of community projects and services.

This is a key front facing role acting as first point of contact for partners, organisations and members of the public seeking to connect with projects and access services linked to and delivered by East Durham Trust.

You will assist colleagues in managing public, community and stakeholder relationships. You will provide support for data systems, financial processes and operational procedures and facilitate a full range of administration for project coordinators, the senior management team and the Chief Executive. You will provide vital support to the full range of East Durham Trusts activities and will be an important member of our team.

Development opportunities may be possible as the organisation grows and evolves.

Geographic Location

The Administration and Operations Officer is a front facing post and is based in Community House, Peterlee however post holder will need to move around East Durham to meet our communities where they are and may, at times, work within other settings and services.


Duties and Responsibilities

Administrative Support:

• Act as first point of contact for the Trust and respond to general enquiries from individuals, organisations and other stakeholders, and signposting on as appropriate.
• Deliver a positive and engaging customer service experience.
• Provide digital administrative support for the office, including maintaining filing systems, record-keeping, preparation of agenda, preparing notes of meetings, with some handling of incoming and outgoing mail.
• Assisting with all activities in relation to preparing for internal and external meetings, exhibitions, presentations, press releases and other promotional activity.

Health and Safety Support:
• Support the Trust’s Health and Safety processes including maintaining and updating risk assessment templates, carrying out and logging Health and Safety and Fire checks.

Financial Process Support:
• Under the direction of the senior management team raise purchase orders, requisitions and processing of invoices.
• Support the Trust’s Finance processes including logging transactions, preparing payments and updating the Trust’s digital accounts system.

Projects and Services Support:
• Develop and maintain local systems for management of information and data and supporting with the gathering, collating and logging of data and information, relating to the Trusts projects, services and activities.
• Provide support to all current and future projects and services, adapting quickly to changes in focus, whilst also helping identify and action improvements to processes and procedures.
• Help with the process of digitising administration activities including supporting with the implementation and development of the Trust’s CRM.
• Work with Executive Manager of Operations and Services to develop and deliver projects and services which will benefit the community of East Durham.

The ideal candidate will have a solution focused mindset and be help to proactively problem solve collaboratively in a workplace where no two days are the same and challenges can occur at any time and are often not predictable.

The above is not exhaustive list and the post holder will be expected to undertake any duties which may reasonably fall within the level of responsibility and competence of the post as directed. Duties may include contributing towards East Durham Trusts direct community support activities, charitable aims and strategic purpose.

You will have good personal organisation and time management. You will need to be able to work on your own initiative and in support of our wider team.
