Summary

Line Manager Responsibilities a.Overseeing the administration and support operations of the secretarial team, ensuring staff achieve their primary responsibilities b.Ensure that existing secretarial systems are functioning efficiently and effectively c.Be responsible for the day-to-day running of the team including managing routine HR issues. d.Line managing all secretarialstaff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training e.To act as Holiday Manager to the secretarial team. f.Provide feedback to the team about practice matters, run secretary meetings, attend other team meetings as required, and represent the team to the rest of the practice in practice meetings g.Implement objectives for the secretarial team and evaluate progress, oversee implementation of objectives and identify any barriers to reaching these objectives. These objectives will be agreed in line with overall practice objectives. h.Support the training officer to assess training needs within the secretary area with a view to preparing individual Personal development plans for secretary staff i.Completing staff appraisals as required j.Identifying and delivering team training where required k.Compiling secretary staff rotas l.Along with the operational manager Review and update reception policies and procedures as required m.Provide hands on support to all secretary staff and carry out any of the duties of a secretary. Role Specific Responsibilities a)Work collaboratively with GPs and other primary care professionals to proactively identify and manage medical report and Subject Access Requests from patients and third parties b)Manage Access to Medical Record requests including redacting appropriate data before it is disseminated. c)Data entry, tracking in and out of records, filing, assisting with disclosure of medical files d)Comply with the requirements of the GDPR and Data Protection legislation issues in relation to confidential data e)Work closely with the finance team to ensure correct charges are applied for various medical requests. f)Support the GPs and Clinical professionals with patient requests for various completion of forms including PIP, Universal Credit, DVLA etc. g)Ensure all requests are responded to in line with GDPR and Access to Health Records policies. h)Support the practice in the annual completion of the Data Security and Protection Toolkit i)Support the practice to understand Data Governance and Data requests, ensuring both compliance and best practice. j)Ensure new and existing data assets, products and services adhere to Data Governance Frameworks and relevant policies. k)Support with investigation of Data Protection Incidents l)To take part in audits and learning events as necessary m)Manage Freedom of Information Requests n)Support the practice in delivering CQC requirements This role profile is not exhaustive, and you may be directed to complete other tasks according to the skills and requirements for individual roles.
