Summary


To provide an efficient and high-quality booking and administration service, includingdiary template management and to support all Directorates in achieving key accesstargets.



Validation, tracking and escalation of pathways and breaches. Dealing with in-bound and out-bound calls to agreed professional standards and providing administrationand monitoring support for the referral pathways.

The post holder will work within the radiology Admin team, providing an accurate, efficient, and quality appointment booking service, including telephone appointments, face to face appointments and appointments booked directly from order communications on CRIS (Computer Radiology Information system)

This is a daily duty office role for the navigation of CT/MR bookings and queries as per duty list, escalating to the correct leads for advice, where required.



The post holder will ensure that appointments are allocated within Government waiting time targets, using advanced knowledge and skills. Entering onto CRIS and CERNER with specific attention to the data items required for Commissioning purposes and data quality.



Provide cover for all reception/clerical areas/hospital sites as and when required.

· Provide an accurate, efficient, and quality appointment booking service,including telephone appointments, face to face appointments and appointments booked directly from order communications on CRIS (Computer Radiology Information system)



· Arrange beds for any admissions for patients requiring sedation, make the necessary arrangements for other procedures needing day case admission, ensuring that care pathways are prepared and delivered to the relevant area.



· Highlight contraindications to relevant personnel prior to booking exams.

· Prioritise and manage own workload.



· Daily duty office role for the navigation of CT/MR bookings and queries as per duty list, escalating to the correct leads for advice, where required.



· Manage the Radiology waiting lists, planned lists and vetting lists in accordance with current policy.



· Be responsible for ensuring CRIS is used appropriately across all sites for any booking cancellations and reductions of clinics and update the monitoring records.



· Ensure that appointments are allocated within Government waiting time targets, using advanced knowledge and skills. Entering onto CRIS and CERNER with specific attention to the data items required for Commissioning purposes and data quality.



· Actionany notified cancellations or reductions in CRIS as appropriate andensure patients are placed on appropriate lists, escalating capacity issues to the Radiology admin manager and Modality Leads.



· Identify potential overseas visitors and patients liable to pay for treatment, at point of referral.



· Deal with incoming and outgoing telephone calls, providing a high-quality telephone service for patients, GP Surgeries, and all other service users.



· Respond to telephone and e-mail enquiries, contact with member of thePublic and staff of all disciplines with tact, sensitivity, and confidentialityalways. Dealing with general queries and providing information such as waiting time information.



· Correctly open allocated diary slots as per Modality lead templates and requests for extra lists. Communicating with booking team and leads to notify availability of new slots.



· Liaise with Radiology Modality Leads or their deputies regarding number of slots, times, and location.



· Ensure correct documentation and authorisation is obtained from Modality Leads or their deputy before making alterations to templates.



· Develop close working relationships with the PACS team (Picture Archiving & Communication System) in relation to the maintenance of diary templates.



· Be committed to continuous improvement of data quality, takingpersonal responsibility for the quality of service provided and tocontribute towards and support service improvement.



· Receive orders from CRIS checking patient demographic details on SCR (Summary Care Record).



· Accurately update patient information on CERNER/CRIS i.e. Name, address and telephone numbers, NHS Numbers and GP details.



· Ensure that any DNA’s (patients who fail to attend) are cancelled off the system or added to the waiting list as appropriate.



· Participate in the Resource Module on CRIS to ensure appropriate booking. Taking care that the relevant exams are booked into the correct diaries per local booking rules.



· Liaise with patients to arrange or re-arrange appointments by telephone or letter. Making sure that patients are informed of any pre-examination preparations that may be needed, according to individual exams.



· Ensure the safe storage of medications needed for pre-examination preparations, keep clear, precise records of use of same and ensure safe, secure delivery.



· Organise as and when required the attendance of interpreter/link workers for patient attending clinics, following Trust guidelines.

· General clerical duties including filing, faxing, photocopying, scanning and stationary stock control, informing the relevant personnel when stationary requires ordering.

· Support training of newly appointed staff members supporting Radiology management in the induction of new staff.



· Provide cover for all reception/clerical areas/hospital sites as and when required.



· Provide cover for bank holidays, extended working days or weekends, unsupervised as and when required.



· Provide flexibility in terms of hours worked in accordance with the needs of the service.

· Deal with any complaints in accordance with the Trusts Complaints Procedure.
