Event Coordinator

Salary- £26,648 per annum + benefits

Location – Bracknell / Hybrid

Contract type – Permanent, full-time, 36hrs per week



crooton has an exciting opportunity for an Event Coordinator to join our well-established client in their Bracknell office on a hybrid working module.



As an Event Coordinator, you will support the coordination of a range of high-quality events including award ceremonies, graduations, conferences, and any other events that deliver on the organisational objectives; events are intended to increase member engagement, support member career development, engage new members to raise the profile of our client and its key activities. All events observe the commitment of our client's Royal Charter; to promote the science and practice of building for the benefit of society.

Key Responsibilities will include:

Supporting the Events Team with the coordination of conferences, graduations, awards ceremonies. and any other events to meet the aims and objectives of the appropriate internal stakeholders: Events include face-to-face, online and hybrid and may include- liaising with suppliers, ordering catering, managing events payment online and via invoice, booking travels & accommodations.
Working as part of the team to deliver our client's key events.
Working with the organisation's event management system (Eventbrite) and online events platform (Cvent) to ensure efficient and high-quality delivery of events. Including; ensuring all events are entered into the booking system, showing live on the website events calendar, correctly processing bookings, and managing events attendees internally and externally via Eventbrite.
Working with external suppliers e.g. venues, AV, photographers & caterers.
Attending and actively participating in all key events including graduations, award ceremonies, conferences, and network events. Including Liaising with the venue for set up, dealing with queries/issues on the day, and ensuring all of our client's products/services are promoted.
Managing purchase orders and invoicing via Focalpoint, setting up new suppliers/customers as needed.
Supporting the wider marketing, communications & digital team to publicise and promote the events, including editing and proofing event brochures, agendas, marketing collateral, banners, and other collateral as required.
Carrying out administrative functions for the Events team, including but not limited to; managing the events email inbox and event banner process.
Travelling and staying overnight away from home may be required.


The ideal candidate will hold the following skills and experience:

Excellent communication skills, both in written and spoken English
Ability to work proactively, show initiative and manage a variety of stakeholders.
Organising and delivering high-quality conferences, events, or exhibitions.
Excellent customer service, organisational, multi-tasking, and administrative skills essential
Managing suppliers, negotiating best prices, and benchmarking costs.
Strong IT skills including Microsoft Office software (Word, Excel, PowerPoint, and Outlook) experience working with social media, with the ability to learn new in-house systems quickly.
