The Opportunity…
We are recruiting for an experienced French speaking Personal Assistant (PA)/Project Support to provide full secretarial and administrative support to a French Executive Director. This role will be rewardingly challenging and requires you to have strong secretarial skills combined with pro-active organisation of a complex and diverse workload.

What you’ll be doing…The primary responsibility of the Personal Assistant (PA)/ Project Support, is to successfully provide accurate and reliable PA and administration support service to allocated Executive Directors – along with some administrative assistance to the extended Directorates. Responsibilities include;
- Uses business software applications (e.g. word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas and minutes.
- Receives, screens, and directs incoming calls, visitors, mail, and email.
- Maintains files, records, calendars, and diaries.
- Take an active role in prioritising and preparing materials for the Directors to ensure their work is planned effectively with the necessary materials available.
- Obtain / disseminate information to / from senior management and external representatives.
- Ensure accurate and efficient document management and classification in line with NNB procedure.
- Arranges business travel and coordinates meeting arrangements.
- Tracks business expenses

- Ability to work independently and be proactive.
- Excellent communication/interpersonal skills notably with various levels of the organisation and externally.
- Effective verbal and written communication skills in French and English.
- The ability to work as an integral part of a team contributing to team success, communications, and a positive working environment.
- Flexible approach with the ability to multi-task and work on own initiative.
- Discretion
- confidentiality when dealing with sensitive information.
- Attention to detail.
- Basic understanding of property services activities/organisation including terminology.
- General administrative/secretarial knowledge producing professional work as well as ability to adapt to new and changing systems (and possibly creating systems).
- Use of Outlook or similar diary/email application; Microsoft Office – Word, Excel, Power Point, to prepare correspondence, reports, presentations, agendas, and minutes
- Previous experience in the energy industry desirable.
