Summary


We are looking for enthusiastic Typist Amin Officer to work in our busy Orthopaedic department on the Ealing , Northwick Park and Central Middlesex Hospital site, working in both busy administration office. You will need to be self-motivated with good communication & interpersonal skills.



You will have a friendly and approachable personality, be willing to work as part of a team and committed to providing the best possible service for patients.

The department actively promotes development, education and training. To apply you will need to have good GCSE's or equivalent and good IT skills.

1. To communicate confidently, effectively and efficiently with a wide range of people, including patients, carers, GPs, clinicians, work colleagues and other professionals on a range of matters on a daily basis. This communication could be verbal, written or electronic.


1. To type and issue outpatient clinic letters for a number of Consultants.


1. Work with the orthopaedic clerical staff as part of a team, to provide support for and delivery of an efficient service.


1. Provide administrative support with induction of new employees to the department.


1. Responding to complaints and passing them on to the appropriate personnel
2. To manage own workload and work within the objectives set by service manager or team leader.





Working relationships and communication requirements of the role
• Work cross-site and provide cover during sickness and annual leave, or when necessary.
• Instituting own correspondence and initiating confidential and sensitive correspondence on behalf of Trauma and Orthopaedic department.
• Photocopying of reports/articles and distribution to the team.
• Scan referrals/correspondence onto the internal recording system e.g GCIS
• Receiving telephone calls/voicemail messages, relaying referrals/messages promptly and take appropriate action to resolve problems
• Communicating effectively with all Orthopaedic staff members as well as other members of the MDT, including Social Services, Nursing Staff, STARRS, Discharge Team, as well as other external agencies by telephone or in person.
• Having a good working relationship with the other Portering, Maintenance Department, Voluntary Services, Transport, IT etc.
• Communicating sensitive information on the telephone and dealing in an empathetic manner where reassurance skills are required.
• To enable effective communication through a variety of methods and to ensure that all forms of communication meet with current legislation regarding confidentiality.
• To assist in the promotion of the service within the Trust and external agencies.
• Take minutes at meetings



Level of responsibility


• Make appointments for patients both on the telephone and in writing. Also using GCIS database to compose and send discharge letters to the referring Consultants and GPs.
• Looking after patients who visit the department and helping with any queries.
• Booking interpreters for patients who do not have English as their first language. (Dealing with patients who have barriers to communication and taking cultural issues into consideration.)
• Collect post as per rota.
• Open all mail; deal with as necessary, including responding to routine enquiries, etc.
• Have knowledge of and be able to use ICS and ICS Community systems to track/retrieve/input patient information and make appointments. (Training will be given, if required.)
• Typing and sending of letters/reports/e-mails and faxes to external agencies.
• Uploading clinic letters from Dictate IT onto GCIS.
• Maintain and update orthopaedic documentation e.g. patient information leaflets.
• Support the orthopaedic admin team during sickness and annual leave with appointment booking service, or as required.
• Helping clinicians with preparing for outpatient clinics (pulling cards and keeping orthopaedic/admin team informed of any cancellations/changes in clinics)
