Summary

If you join us, you will be supporting a Director or Deputy Directors who are responsible for leading work across a wide range of issues and topics in the Trans-Pacific Negotiations and Policy (TNAP) Directorate. Your role will involve working with the teams both in TNAP and across the Department to support your seniors in delivering their responsibilities.  You will help them to prioritise their time and support them to deliver their job as effectively as possible.

You will get to see first-hand how senior civil servants influence and make decisions to deliver the Government’s agenda. The Director and the Deputy Directors have broad portfolios, and you will be exposed to wide-ranging subject areas.  Their roles require them to work with a wide range of people at all levels within the Civil Service and external stakeholders in business and civil society.  As a result, you will need to be able to communicate and work effectively with a wide range of people, potentially taking on wider responsibilities within the directorate, therefore flexibility will be required at all times.

You will be part of the Corporate Support team within the Trans-Pacific Negotiations and Policy Directorate, working alongside other Personal Assistants in the Directorate. Your line manager will be the Directorate’s Business Manager.


Job description

  • Diary management: room bookings, and appropriate plans to make effective use of your seniors’ time so that they are prepared for meetings. Working closely with Director’s offices and other Deputy Directors’ support teams to arrange meetings, events, and briefings. 
  • Inbox management: including flagging urgent requests and delegating work to teams where appropriate, as well as ensuring all meetings are covered by empowered deputies when seniors cannot attend. 
  • Organising travel: both within the UK and overseas.  You will make travel arrangements in accordance with the Department’s Travel Policies, always ensuring cost effectiveness and compliance with policy.
  • Finance: Handling and processing financial expenses and supporting the Business Manager with budget management for the whole Directorate.
  • Meeting support: Taking minutes at senior management meetings and distributing to relevant colleagues.
  • Cross-Team support: including technical/IT, communications, planning events, recruitment, and other admin tasks as needed.
  • Cross Directorate work: Support the Head of the Directorate’s Corporate team (who will be your manager) including contributing to the Directorate’s business planning, covering for other EAs from time to time, and helping with TNAP’s work to respond to annual staff feedback.
  • Cross departmental working: Build and maintain positive professional working relationships across the Directorate and other areas of Corporate Services, such as the Finance team, the Department’s travel provider and Human Resources.
