How You’ll flourish in this Role
Join us in a position where your organisational skills, attention to detail, and proficiency in administrative tasks will keep our
operations running smoothly. You'll manage general correspondence, process invoices, assist with credit card reconciliation, chase
outstanding invoices for events, and liaise with the events team. Your role will be crucial in ensuring seamless coordination and
efficient administrative support across all aspects of Ocean's operations. Specifically, you will handle general correspondence
related to Ocean, including emails, phone calls, and letters. You will assist with credit card reconciliation for the GM, ensuring
all transactions are accurately documented and reconciled before being signed off. Liaising with the finance team, you will assist
with the collection and processing of invoices for Ocean. You will also chase any outstanding paperwork to assist with the general
day-to-day running, reporting directly to the GM. Additionally, you will coordinate with the finance team by sending event sheets
and, once invoices have been raised by finance, sending them out to customers. Chasing outstanding invoices for events and
ensuring timely payment and accurate record-keeping will be part of your responsibilities. You will liaise with the events team to
coordinate event-related details, maintaining accurate records and highlighting important details such as food allergies or
special requests. Maintaining and updating event-related documents and databases will be crucial. You will provide administrative
support to the events team, including scheduling meetings, preparing agendas, and taking minutes. Assisting in the preparation of
event materials, such as brochures, presentations, and reports, will also be part of your role. Ensuring compliance with company
policies and procedures in all tasks and identifying and resolving issues efficiently using strong problem-solving skills will
round out your responsibilities.
What You’ll Bring to the Table
We’re seeking a highly organised and efficient individual with proven experience in an administrative support role, preferably
within an events team. Your proficiency in Microsoft Excel, Word, and Teams, coupled with strong written and verbal communication
skills, will set you apart. We value excellent problem-solving abilities to address and resolve any issues that may arise. If you
have a keen eye for detail, can handle multiple tasks simultaneously, and thrive in a dynamic environment, you could be the
perfect fit for our team. Essential skills and qualifications include proven experience in an administrative support role,
preferably within an events team; proficiency in Microsoft Excel, Word, and Teams; excellent written and verbal communication
skills; strong organisational and time management skills; the ability to work independently and as part of a team; attention to
detail and a high level of accuracy; the ability to handle multiple tasks simultaneously and meet deadlines; and demonstrated
problem-solving abilities, with the capability to address and resolve issues quickly and effectively. Desirable skills include
previous experience in event planning or coordination, familiarity with financial processes including invoice chasing and credit
card reconciliation, and experience using event management software.
