Summary
Due to increased workload, we are looking for a motivated Crewing Assistant to support our Projects & Offshore Operations team on a short-term contract for up to 3 months. The role will be based at our Westhill office in Aberdeenshire and is a great opportunity for someone who has enhanced administration skills, with previous experience arranging travel being advantageous.
What will you be doing?
The Crewing Assistant role will work under general supervision providing day to day administration support to the Crewing team within the offshore resources function relating to vessels, encompassing all aspects of the mobilisation and demobilisation for personnel being sent offshore. The position will be responsible for quality and accuracy ensuring that administrative tasks are carried out in an effective and timely manner.
Responsibilities include (but are not limited to):
Supporting the Crewing Team Leads and Crewing Coordinators.
Raise call offs, hire forms and certification check forms for personnel as required.
Assist crewing teams to ensure the relevant documentation is up to date prior to crew going offshore.
Liaise with shipping agents and Subsea 7 country management to arrange personnel transfers and other in country services, completing schedule as appropriate.
Provide support for any other activity within Crewing that maybe required from time to time.
Organise flights, travel, and accommodation.
Complete weekly timesheet in Onboard Tracker.
What experience would we like you to have?

An awareness of the practices required to travel personnel to international locations would be desirable (ticketing, visas, work permits, inoculations etc).
Adaptable and pro–active with a structured and methodical approach to tasks, with ability to control workload and deliver in a time-sensitive setting.
Good communication and interpersonal skills, with the ability to deal with personnel onshore and offshore.
Proficient in the use of Microsoft Word, Excel and Outlook.
Prior experience in a similar functional role will be of advantage.
A working knowledge of geographical locations and travel time between countries would be advantageous.
Ideal candidate would have a significant background in administration and be able to work in a busy environment.
