Hours per week: 37 Monday to Friday, normal working hours

Role Length: This opening assignment is for 1-2 months

The purpose of this post is to provide a reception function in the city’s network of Children’s Centres and Family Hubs and to provide daily administrative support to the Supporting Families Service.

Key Receptibilities:

To devise and maintain, in consultation with other staff, an administrative system to meet the needs of the Children's Centres and Family Hubs.
To place orders with the authorisation from the duty manager, overseeing the order right through to the delivery, receipting process and processing of invoices.
Input and maintain information accurately using a range of electronic systems and databases to support the functions of the Supporting Families Service.
Ensure that all incoming mail is distributed, outgoing mail is posted and a record is kept.
Maintain an office diary, and to book meeting rooms as and when required, assisting with room set up when required.
Keep accurate records of, and regularly check, office stationery, etc., ensuring a sufficient supply is maintained.
Assist the Service Development Officer/Team manager with the day-to-day financial running and budget control, including the purchase of office resources and sundries (e.g. train tickets etc), with appropriate authorisation from a duty manager.
Welcome visitors in a friendly and polite manner, respond to queries efficiently and effectively, maintaining a professional approach at all times.
Promote and foster a welcoming environment for families and children of all ages, maintaining a warm, professional and non-judgmental approach at all times.

Qualifications:

3 GCSE's, Grades A-C, or equivalent including English and Mathematics.



Skills & Experience:

Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
Ability to be organised, flexible and prioritise a demanding workload.
Previous administration experience.
Ability to demonstrate and maintain a calm, non-judgmental approach at all times and work well under pressure.
Experience in customer facing role preferably in a social care, education or health setting accessed by vulnerable children and families.
Ability to demonstrate and maintain excellent customer service skills in a busy and challenging environment.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
