Client Overview:
An independent distribution business, looking to strengthen their Logistics and transportation team.
Role Overview:
This role will provide support for transport, despatch and good in/deliveries to and from site, ensuring paperwork and Tropos (ERP system) transactions related to the role are accurate.
Responsibilities:
· Responsible for creating accurate, timely despatch documentation and for all goods in and related transactions on ERP.
· Be aware of the production and order planning schedules and be able to provide support and advice on delivery schedules and risks.
· Understand the export procedures and be able to create paperwork for export orders and samples for land, sea air freight (following IATA guidance)
· Liaise with export haulier partners to ensure correct paperwork is in place and despatched loads are fully compliant.
· Placement of POs and/or PRs for transport related services.
· Support the creation of a delivery schedule and communication of despatches to stakeholders.
· Ensure all inbound deliveries are booked in and slots allocated in and around outbound vehicles and avoid vehicle stacking.
· Plan activities related to dispatching, routing and tracking of vehicles, to ensure the optimal, most effective delivery schedule is achieved.
· Liaise with customers and ensure deliveries are expected and/or booked in where required.
· Support site security and day to day control of entry to all visitors (access camera monitoring) and for ensuring vehicles follow site traffic rules.
· Monitor collections/deliveries ensuring they are on time and any issues logged and/or incidents raised.
· Support with day-to-day management of transport partners and drivers for the business, ensuring the correct documentation and licenses are in place (e.g. ADR and or/ operators’ licenses); vehicle checklists tracked and issues addressed and drivers are clearly communicated to.
· Ensure compliance with transportation-related policies, as well as safety rules and government regulations. Follow the company initiatives for Safety, Health & Environment (SHE) (e.g. H&S Policy, Golden Rules) and exhibit SHE leadership through own behaviours.
· Provide general administration support to the operations and office teams as required.
Person Specification:
· Demonstrable experience in a similar Transportation/Logistics/Export position.
· Practical/proactive problem solver and flexible to support a dynamic, customer driven business.
· Tenacious, thorough, determined, energetic and driven with attention to detail.
· Well organised and able to assimilate new information quickly and take innovative approach to solve complex queries.
· Excellent written and verbal communication skills, providing both customers and internal stakeholders with clear concise information to provide positive and beneficial interaction.
· IT literate. Able to collate data from multiple sources into useable documentation.
· Persuasive, goal orientated and able to follow specific processes and requirements.
· Quality conscious and well organised, able to respond quickly to requests for information or support.
· Team player and customer orientated.
· Flexible to be able to work on multiple and varied tasks.
· Proficient in MS Office tools, especially Excel. Good knowledge of ERP system usage.
· Good Health & Safety awareness and appreciation.
