Summary
SERVICE CONTROLLER - £23,000 to £25,000 pa, 35 hour week, 9am to 5pm, Mon - Fri.

Role
Your role as a Service Controller is to assist and to ensure the smooth running of the Service Department.
Duties & Responsibilities
Although not limited to, your duties include such items as:
System Management – All aspects connected with Service / Service-Tracker system including trouble shooting, training, updating, importing reports, emailing reports, amending details if forms overwritten, checking all reports for recommendations & problems
Report any service problems to relevant Service Manager
Answering service line
Assisting with any administration requirements for Service Managers, including proofing of their emails and reports
Support, and try to rectify technician queries, access requests/problems
Intermediary between management and technicians
RAMS (Risk Assessments & Method Statements)
Scheduling ‘Routine’ dates when required
Checking if ‘call-outs’ have been completed
Logging ‘job-work’ orders onto system • Proof reading when required
Setting up new contracts, cancelling contracts, amending contracts having obtained management permission
Address / Assist with setting up and solving problems with technicians’ mobile phones
Explain what contract entails when technicians enquire
Arranging technicians parking
Checking jobs to see if they should be completed; chasing technician(s) to complete/follow-up if scheduled dates are not being met
Check and report on technician’s state of service
Regular report emailing to certain clients
Block treatment admin – sending out letters, organising technicians, typing/sending out report
Set up, maintain and troubleshoot client portals – ensuring access permits are up to date.
Assist in organising holiday cover for technicians
When there is a requirement to assist sales & service managers with new contracts: Producing front sheets, service agreements, requesting P.O numbers, arranging ‘Initial Treatments’ (IT’s), setting new contracts up on system, notifying technicians, collating site files, checking invoice once completed, posting all relevant paperwork.
