NB: Police Vacancy - only for candidates with a minimum of 5 years continuous UK address history. Please note that this vacancy is subject to a strict security vetting procedure.

A Board Officer is required to provide administrative support to all OPCC boards, scheduling meetings, producing agendas, taking and compiling minutes and actions logs and co-ordinating papers. To support the OPCC/VRN Team by providing an efficient and effective administrative support function in a confidential environment.

Key responsibilities:

Deal with correspondence and other material (including confidential documents) and to compose replies to such correspondence as required.
Provide administrative support to all OPCC boards, scheduling meetings, producing agendas, taking and compiling minutes and actions logs and co-ordinating papers.
Prepare reports and presentations relating to OPCC Boards.
Prepare information for and compile information/literature packs relevant to the organisation.
Receive and screen all incoming telephone calls and other correspondence relating to all OPCC boards and to re-direct or deal with such correspondence as necessary.
Record messages and other incoming information for submission, and to seek clarification of such messages/information when necessary.
Handle routine correspondence inclusive of photocopying, scanning and other enquires.
Manage and prioritise weekly tasks to deliver an effective service with minimum of supervision to meet deadlines.
Accurately updating and monitoring departmental excel spreadsheets.
Undertake administrative activities including the preparation and processing of all necessary correspondence, documentation relating to activities undertaken by the department, fully utilising systems with minimal supervision.
Be flexible in terms of working location and be prepared to work at alternative locations required by the PCC / CEO / within the Force area, undertaking a similar role.

Qualifications:

Educated to ‘A’ level standard or have experience of working to that level in the form of reports, research or projects previously undertaken.
NVQ Level 3 or 4 in Business and Administration desirable.
To hold OCR Text Processing Level 3 or equivalent, have a typing speed of 60WPM and recent experience of audio typing.



Experience:

Minute taking skills and experience are essential for this role.
Experience in an administration, executive assistant or PA role in a pressurised environment requiring tact, judgment and discretion.
Experience of handling confidential papers and of working in a confidential and sensitive environment.
Knowledge and experience of working within a political environment desirable.



Skills & Abilities:

Ability to effectively manage multiple diaries, including researching and booking of travel and accommodation.
Awareness of the need for sensitive disclosure of information and appropriate methods of communication.
Ability to communicate effectively with people at all levels, verbally or in writing including the production of agendas and minutes.
Ability to think ahead and anticipate needs.
Have a pro-active and flexible approach to working under pressure to meet tight deadlines
Able to demonstrate the ability to be meticulous and work efficiently under pressure using own initiative, and working with limited supervision.
Advanced IT skills including Microsoft packages or equivalent (e.g. G Suite).
