Summary
The post holder will be responsible for ensuring the provision of an efficient, focused administration service and to organise and plan work across the range of administrative functions that underpin the patient pathway and the delivery of clinics.
The post holder will work alongside the Team Leader and Assistant Service Manager, to assist in the supervision of the Clinic Delivery Clinic Coordinators within their designated Hub.
The post holder will be responsible for the supervision of the Clinic Coordinators, ensuring all areas and core tasks are covered, daily workload distribution to the team, as well as assisting in the direct line management of staff. The post holder will also play a key role in liaising with the Services that Outpatients support, to ensure that we are delivering excellent patient led care.

To provide support and assistance to the line manager in relation to operational administrative and business issues and to deputise as required
To facilitate excellent communication within the department by effectively disseminating all information received to the team and by acting on relevant comments and suggestion and/or feeding back to the line manager
To assist the line manager in creating and maintaining processes relating to the smooth running of the service
To provide supervisory support to the team of staff
To hold regular team meetings and to foster the development of the team.
To undertake regular one to one meetings with the Clinic Coordinators.
To assist the line manager to identify and monitor performance issues within the team in line with Trust Policies and take appropriate action, as directed and supported by the line manager, to deal with poor performance.
To keep appropriate staff records in relation to absence monitoring, positive reporting, training etc.
To monitor staff time-keeping and absences in line with Trust Policies.
To liaise with and provide advice to the team on matters regarding and
Outpatient IT systems such as iCLIP, to include but not limited to: iFit and EDM etc.
To ensure that all staff participate in both Trust and departmental induction programmes.
To ensure all staff know how to use the relevant functions on iCLIP
To ensure that all procedures and policies are understood and adhered to by the team
To amend existing clinics and set-up new clinics in line with Trust policy.
To cancel and reduce clinics as and when required in line with Trust policy.
To ensure reception is covered, and to actively participate in the reception cover along-side the Clinic Coordinators
To suggest and implement changes to systems and procedures when appropriate and monitor their effectiveness
