Summary

1. Job Purpose
To be responsible for the key functions within the College relating to student data
operations and examinations. Working closely with all college information systems
teams in continuing to develop efficient systems to collect, maintain, store and report upon student and funding data.
Working to proactively inform senior management on the College’s funding position and highlight any risks, changes or shortfalls. Responsible for data accuracy and audit compliance of student and related data from the perspective of the college’s funders and regulators.
To be accountable for the compliance with timely and accurate data and funding returns to our regulatory agencies and funders.

2. Key objectives:
• To maintain an expert up to date knowledge of relevant funding policies and regulations (to include FE, HE and apprenticeships).
• To provide highly effective leadership and line manage the MIS and Exam teams.
• To continue the effective collaboration with the iZone manager to ensure the college evolves the effective use of it’s data as useful information and tools for colleagues, learners and stakeholders, including the learner admissions process.
• To inform senior managers of current and future funding policy changes and assist with the analysis of the impact to the College. To develop and maintain a “data and funding manual” for the college, highlighting departmental and college policies in relation to data, processes and rules in conjunction with funding regulations.
• Ensure all student data returns are accurate and made to the relevant body on a timely basis, which will include where appropriate approval from accountable officer or senior manager.
• Ensuring systems and processes are in place to generate the evidence required to
support audit and funding claims.
• Managing the college course master file and ensure the central MI system is accurate and up to date. To utilise the core functionality of central MI system (Pro Suite) and other relevant supported software products including the Dashboard. Be the main point of contact for MIS software providers.
• Lead and advise on systems, processes and projects for the improved collection, supply and sharing of student and course information, ensuring smooth and efficient integration with other college systems (e.g. Finance, HR, Work Based Learning, ITS and college website). Maintain and evolve on-line applications and enrolment processes for all college learners.
• Lead the College Curriculum Planning cycle, ensuring course files are produced ready for both staff and students.
• Develop and maintain a college calendar of systematic data checks, ensuring all actions are carried out on a timely basis.
• Work closely with the Finance team to provide information and support in the production of the Management Accounts including income forecasts (using Drake Lane 4CAST software) by relevant streams and KPIs.
• Oversee the systems for examination registering, entries, invigilation and certification.
• Ensure compliance with awarding bodies, JCQ and ICE in conjunction with the
Examinations Officer.
• Working with Apprenticeship Teams ensure the data for apprenticeship funding
compliance is maintained and used effectively, including the process for End Point
Assessments.
• Ensure audit compliance in all aspects of Examinations, from Registration to
Certification.
• Manage the exams budget and forecasts.
• To be a key member of the College Management Team, contributing to the strategic direction of the College.
• Develop and manage the team Operating Plan to contribute to an overall college
strategic plan.
• To ensure detailed and strategic level data reporting, including KPIs, is produced in
accordance with the requirements of College performance management.
• Ensure compliance with the GDPR, both within the department and cross college
requirements and be a member of the GDPR Panel and to deal with any external
requests for information as appropriate.
• To provide guidance and support as otherwise required by the College, which may include tasks in addition to the above.

3. Other Duties
The Post Holder may be required to perform duties other than those given in the Job Description for the post. The particular duties and responsibilities attached to posts may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence and would not of themselves justify the re-evaluation of a post. In cases, however, where a permanent and substantial change in the duties and responsibilities of a post occurs, consistent with a higher level of responsibility, then the post will be eligible for re-evaluation.
