Summary


An exciting opportunity has arisen within the Surgical Services Admissions Team at University Hospitals Coventry and Warwickshire NHS Trust. We are seeking to appoint an enthusiastic and dedicated individual to join our team. The post holder will be a key member, who enjoys the challenge of having a varied role across different specialities and departments providing a scheduling function for elective surgery. You will need to have excellent interpersonal skills and experience in the following:-
• Working in an administrative role
• Experience in customer facing
• Excellent communication skills, particularly over the telephone with people at all levels
• Excellent customer service
• Ability to stay calm under pressure
• Good team player who is also able to work own initiative
• Professional approach
• Flexible and committed

Provide effective and efficient administrative support to the department and support the Band 5 Admin Manager.

Expected to use own initiative and able to work unsupervised and take responsibility for themselves and the quality of their work and the service they provide to patients.

Must be able to plan and manage a range of duties, organise own work to meet deadlines and respond professionally to enquiries both internal and external to the organisation.

Act as a role model to colleagues, always seeking to maintain the highest standards of professionalism.

Act as first point of contact in scheduling inpatient operating list and ensuring that theatres are utilised appropriately and waiting lists are managed effectively.

Liaise with clinician’s to ensure the correct case mix on theatres lists and appropriate staffing is in place.

To provide cross-cover on a reciprocal basis in the absence of colleagues, providing day to day supervision and ongoing training and development for junior colleagues.

Monitor and validate waiting lists.

Responsible for booking outpatient appointments.

Input Electronic waiting list cards and Referrals onto the appropriate Trust IT systems.

Admit and Discharge clinics.

Provide administrative support as required, eg typing, data inputting, filing, scanning/copying in line with Trust Policies and Procedures.

Answer/deal with complex face-to-face/ telephone and email enquiries from patients and other service users.

Support with ongoing training programs.

Deal with incoming and outgoing post.
