Summary

Background information St Wilfrids Hospice provides tailored end of life care both in the community and at our Hospice, supporting patients living with a terminal illness, and their loved ones. Our vision is for all dying people and those close to them to have access to the care and support they need by providing high quality specialist end of life care and bereavement support whenever and wherever it is needed. As a registered charity our services are provided free of charge, with 86% of our funding provided by voluntary donations, gifts and wider activities where our Fundraising and Retail teams have strong connections and participation with the local community. JOB PURPOSE To provide full administrative support to all clinical teams. To ensure patient related information is maintained and updated at all times. To be first point of contact for administrative support to the Living Well team. KEY ACCOUNTABILITIES & RESPONSIBILITIES To work within the hospice and service protocols and procedures to assist in delivering a quality administration service to all hospice clinical teams. Take telephone calls for the clinical teams from patients, their families and carers, health professionals and other service users. Record information accurately and notify the relevant person. Ensure complex and sensitive issues arising from patient and clinical enquiries, along with other health care professionals are dealt with appropriately at all times. To process all referrals, liaising with GPs, and hospital consultants to provide relevant information concerning the referral process. Ensure high standards of confidentiality, accuracy and time bound delivery are constantly met. Accurately transcribe and process correspondence to the required presentation levels. Maintain knowledge of medical terminology, reports, forms and managerial correspondence. Enabling others to use appropriate software packages by keeping abreast of any IT changes through attendance at working groups as required. Supporting staff in use of clinical database. (SystmOne) Attend clinical meetings as required; transcribe minutes and clinical summaries onto clinical database as required. Access test results from other hospitals / agencies when required. Scan documents into clinical database. Collection and input of statistical data for audit and production of reports as required. Maintain a system for consultant committees, MDT meetings, and caseload reviews. Responsible for servicing and attending clinical meetings, including minute taking, booking venues and hospitality. Plan and organise specific events for the clinical team, including orientation programmes, study days, patient visit records. Assessing administration and equipment stock levels, ordering as required. Manage frequent calls from and occasional face to face contact with patients or their loved ones who are upset or frustrated, responding with empathy and professionalism to resolve their queries. Support the day to day training of new staff and volunteers as required. KEY WORKING RELATIONSHIPS Clinical Admin Team - Working closely with other members of the team to ensure continuity of service during all working hours. Flexibility to provide support to any of the clinical teams as the service demands. St Wilfrids Hospice colleagues - Close working relationships with, but not limited to, those working within the clinical teams including consultants, doctors, nurses, therapists, and volunteers. Giving support to non-clinical teams with providing relevant information as requested. NHS and other care providers - providing information and support with respect to referrals and clinical queries while being aware of confidentiality and data protection. Patients and families - providing information, support and guidance within the limits of the role and escalating any medical queries to the relevant person. Volunteers and students - supporting with queries and use of computer systems.
