Summary

Coordinator Mitie Services



Site responsibilities

-This role is a combination of our coordinator services - mailroom and porter services based managed with a high degree of confidentiality and integrity

-Managing time to respond to flexible business needs

-Good communication and IT skills



Key relationships

-Client side, work closely with the Supervisor - Workplace Services and the wider WPS Team

-Remember every Salesforce employee is a customer

-Legal and Finance teams who deal with key contracts and documents

-Landlord Services Team

-Events Marketing team who use order materials regularly



Job Role

-Working closely with Mitie Account Manager, Manager of Mailroom services and the Catering Manager

-Working closely with events coordinators & hosts to ensure seamless guest experience

-Bluefin floor walks, setting standards across the board

-Event set up - from setting up rooms to assisting with catering and AV first fix troubleshooting

-Providing outstanding customer service

-Monitoring ticket requests - picking up, taking ownership seeing tickets through to completion

-Booking in vendors and contractors via building management and with Salesforce security

-Escorting vendors when needed

-H&S - fire warden training

-Ensure site is compliant with QHSE requirements

-Collaborate with site lead to meet KPI's

-Organising couriers and storage of packages

-Ordering and stock control of all mail related consumables

-Managing incoming and outgoing courier deliveries

-Managing incoming and outgoing mail

-Logging in packages via REWS ticketing system

-Scanning documents to the relevant teams

-Liaising with the SF Tower Mailroom team

-Catering Stock management

-Hospitality Experience



Development

-Looking for innovation opportunities to continually improve processes

-Build knowledge of staff through learned experience, where people are based, teams, regular deliveries, etc.

-To attend training courses as and when necessary

-Continue to expand knowledge through UK customs course regarding Brexit



Site Support

-Supply timely and accurate feedback to all client and customer queries

-Continuously look for ways to improve the service and initiatives on site

-Provide administrative support when necessary and requested by any of the management



Operational Standards

-Adherence to all processes and procedures

-Setting and maintaining high standards so that customers' expectations are consistently exceeded

-Resolution of any operational issues and escalation to appropriate persons

-To undertake any reasonable request from Management
