Summary


An exciting opportunity has arisen within the Northamptonshire Continuing Healthcare Service for a Band 3 Administrator.

The ideal candidate will have proven experience of working in a busy administrative function and ideally suit an administrator who wishes to providing support to patients and their families. Excellent oral communication and Interpersonal skills are essential as well as the ability to resolve queries and concerns from patients and families with empathy and diplomacy.

Candidates must possess strong organisational skills and beable to plan and prioritise their own work. Attention to detail is paramount as well soundknowledge and use of all other Microsoft office packages are essential.

To deliver an effective and competent level of administration within the Continuing Healthcare Team, promoting good customer service and effective working relationships. The post holder will be responsible for inputting and maintaining data on data systems, together with the associated correspondence, ensuring a flexible/adaptable approach to their work in order to meet various deadlines and targets.

Core Duties and Responsibilities (Key Result Areas)
• Act as a point of contact for the department, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
• Inputting and maintaining data on data systems, together with the associated correspondence.
• Monitoring data input and printing reports from computerised systems as required.
• To arrange/schedule assessments and reviews for Nurse Assessors, including contacting individuals and family members/representatives and other relevant professionals, as required.
• Collation and preparation of relevant documentation in support of service delivery.
• To support clinical brokerage function in the setting up of care packages, as required.
• Responsible for organising meetings for the department, minute taking, calendar management and planning any administrative work as required.
• Deal with invoice queries in an efficient and timely manner, as required.
• The post holder will adhere at all times to the service guidance, and work within established policies, procedures, protocols and systems ensuring quality standards and performance as directed.
• Ensure that general office supply levels are maintained.
• To deal with all outgoing and incoming mail. Responsible for sorting all outgoing mail to ensure that IG standards are adhered to.
• To send post recorded delivery when requested.
• Promote the image of the department, checking that notices and leaflets are up to date and well presented.
• Ensure that all complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate
• Word processing and processing documents (faxing/scanning/photocopying) when required.
• Demonstrate office systems and department requirements to new starters.
• Undertake research and development as directed.
• Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales
• To ensure compliance with all statutory and mandatory training.
• The post holder will carry out any other duties as may reasonably be required by their line manager.
