Summary


An exciting opportunity has arisen for an administration assistant to join our busy team within Specialist Palliative Care. We are based at the North Tees site at Stockton.

This is a fixed term/secondment post for 1 year, it is part time (27 hours) , working over three and a half days.

The post holder will provide an efficient and effective administration service and excellent customer service to ensure queries are resolved in a timely manner.



To be the first point of contact for emails, departmental phone calls and face to face enquiries (not patients), offering an appropriate response within the boundaries of knowledge or signposting effectively within or out of our department.

Communication is a key part of the role . The post holder will be expected to communicate effectively and courteously within the team. Communication will include medical staff, GPs, patients, relatives, members of the public and other disciplines within the Trust.

You may be asked to attend meetings, where required taking and transcribing notes , to fully reflect the business of the meeting.

The post holder will provide administration support to the Team, Service Lead and Consultants and support to administration colleagues.

The post holder will be an enthusiastic team player, able to work flexibly and be an excellent communicator with a high level of interpersonal skill

Administrative Responsibilities



Carry out routine administrative duties pertinent to the service.

The role requires the individual to work as part of a multi-disciplinary team.

The post holder will be predominantly office based and undertake the following activities:
• reading of letters of a sensitive and confidential nature ensuring copy letters to other health care professionals / services are sent.
• Receiving, recording, sorting and distributing any form of communication and take appropriate action including escalation where appropriate.
• Receive and reply to emails , make telephone calls to/from GPs, wards and other NHS and non-NHS professionals/agencies, follow through all enquiries in a friendly and professional manner.
• Data collection, update management and maintenance of databases relevant to service.
• Collate documents and other preparatory items required for meetings pertinent to the service.
• Word processing utilising Microsoft Office communication pertinent to the service.
• General administrative and clerical procedures including receiving and sending e-mails, filing, photocopying and scanning of documents as required.
• Compliance with General Data Protection Regulations and patient confidentiality supporting processes for clinical governance and information governance.
• Undertake any other relevant administrative tasks that may be required for the effective running of the service.



The post holder will be proactive with respect to personal and professional development and become fully conversant with new developments affecting the role

He/she must also be flexible both in availability and being able to offer cover for colleagues when they are absent from work due to annual leave or sickness etc.
