Summary


We are looking for a enthusiastic , dynamic and organised person to apply for our Hepatology Medical Secretary post. This post sits within our Hepatology Administration Team which is part of our Gastroenterology Service Line. The post is fixed term for 2 years.

The post holder will be responsible for providing a comprehensive medical secretarial service to consultants, specialist nurses and other clinicians within the team. They will be instrumental in the smooth running of the office and will need to work without supervision, using their initiative when dealing with enquiries that arise in the absence of the clinicians, to bring about a successful outcome. The post demands the ability to communicate at all levels with patients, relatives, medical colleagues and allied health professionals whilst maintaining a high standard of service to meet the needs of the patient. The post holder will also be involved in the administration of our Hepatology Liver Surveillance Programme.
• Deal with all enquires coming into the Hepatology Office
• Sort and action incoming mail
• Manage consultant triage of referrals
• Audio type clinic letters and correspondence
• Monitor clinic letter outcomes
• Review clinicians' diaries to ensure the smooth running of clinical commitments
• Liaise with Outpatients to ensure clinics are correctly booked
• Contribute towards the administration of the Liver Surveillance and Fibroscan services
• Support in the management of patients' cancer and 18 week pathways

Deal with electronic, telephone and written enquiries coming into the Hepatology office, providing the focal point of communication for all medical, professional and allied healthcare staff, both within this Trust and with external organisations, using judgment to facilitate a successful outcome for all enquiries.

Deal with electronic, telephone and written enquiries coming from patients into the Hepatology office. Convey information which could be sensitive, difficult and distressing for patients and their relatives with tact, patience and discretion.

Act independently to sort, distribute and prioritise incoming mail, including e-mail, using judgement and experience to prioritise and pass to clinicians or pass directly to other areas for action and information, using own initiative.

Access the electronic referral system for referrals, ensuring they are triaged by a consultant and processed in a timely manner.

Audio type clinic letters and correspondence dictated through the Big Hand system. Monitor consultant amendments and approvals to ensure these are done in a timely manner, and once approved, print and send out letters with any relevant inserts eg prescriptions, blood forms, test pots.

Monitor outcomes of clinic letters, for example ensuring discharged patients have had future appointments cancelled, requests for imaging have been done and follow up appointments booked appropriately.

Regularly review clinicians diaries to ensure clinical activity is correctly booked or cancelled depending on leave, liaising with the relevant clinical department, eg Outpatients or Endoscopy as appropriate.

Liaise with the Outpatient departments to ensure clinics are correctly booked, slots have been fully utilised and urgent patients are prioritised.

Follow through queries and progress chase, in order to free up clinical time for clinicians and improve information and access for patients.

Scan documents to Mediviewer as necessary.

Assist the Hepatology Admin Manager in the administration of the Liver Surveillance Service and Fibroscan service. This will involve tasks such as data entry, prompting clinicians to request imaging or tests, booking appointments and contacting patients who have failed to attend appointments.

Support the 18 week patient pathway by providing timely information to the 18 week team and the Clinical Service Line management team as requested.

Attend weekly Outpatient Clinic Review teams call and monthly team meetings.

Manage own workload on a day to day basis, prioritising urgent tasks and escalating any potential issues with meeting deadlines to the Hepatology Admin Manager.

Implement policies for own area and office/department with the guidance of the Hepatology Admin Manager or Service Manager.

To carry out any reasonable work requests to meet the needs of the service. This may include covering for the Hepatology Admin Manager in her absence
