Summary

1. To provide an administrative support service to Pharmacy Senior Leaders and other members of the Pharmacy and Medicines Optimisation Department as directed. 2. Responsible for managing and maintaining the electronic diary, using Microsoft Outlook computerised system, arranging meetings/appointments, ensuring they are kept up to date and preventing meeting clashes or missed entries. 3. Ensuring the provision of an effective general telephone receipt and enquiry service and advising callers accordingly. Dealing with enquiries where possible, and taking of messages. 4. Prioritise own workload and meet deadlines in order to meet the requirements of the post. 5. Managing incoming and outgoing correspondence, acknowledging emails and letters, channelling incoming requests to the appropriate person and taking action on correspondence and drafting replies as appropriate. 6. Support the planning and organisation of events, conferences and away-days when required. 7. Collate, quality check and input data into department databases and registers. 8. Timely production of agendas and relevant papers, including booking venues, taking minutes and transcribing notes. 9. Typing of reports, letters and memoranda including the development, creation and maintenance of spreadsheets and databases, where appropriate. 10. To be responsible for ordering non drug items across the dispensary sites. 11. Establish, develop and maintain efficient office documentation systems (e.g. filing, both paper based and computerised) ensuring accessibility and confidentiality of information. 12. Plan and implement new ways of working, collaborative working and capacity planning through line management arrangements 13. Assisting with the production of special projects, presentations, reports and correspondence. 14. To monitor progress of specific service projects/workloads against set deadlines. 15. To support the uploading and management of documents onto the Trusts Health Assure website to support CQC in the absence of responsible staff. 16. As part of the administration team, the post holder will be expected to provide cover in other areas in times of sickness etc. 17. To undertake any other duties deemed appropriate as required.
