Summary

Business Support Administrator

Job OverviewThis role will provide essential administration to the Mitie contract at NDA / SL Warrington, working closely with all service line managers..

Cover may be required for holidays and absence of other members of the admin / Reception teams as required, a flexible approach would be advantageous.



Main Duties

Provide assistance as required to all service line managers when requested.

Plan, schedule, coordinate and monitor works requests as appropriate,in conjunction with other team members.

Ensure excellent customer service is delivered in all tasks undertaken.

Collate data to facilitate compilation of the client monthly, quarterly, six-monthly reports.

Management of sub contractor queries and follow ups in relation to the DRS contract.

Work closely with the DRS Contract Manager for all location requirement (audit completion / vetting requirements / training coordination / PO tracker management / meeting coordination / upload and filing of documents within Sharepoint and Teams )

Monitor and manage the helpdesk.

Manage vetting requirements, for Mitie employees and sub contractors.

Arrange visitor and sub contractor passes.

Provide minute taking for meetings and HR processes.

Manage and update the Arkebus client reporting network, for day to day business requirements and reports.

Cover the reception duties as and when required.

Provide resilience for administration duties during times of holiday / absence cover.

What we are looking for- Customer Service experience

- Ability to plan, organise and prioritise work load.

- Good written and verbal communication skills.

- High level of attention to detail.

- Proficient use of Microsoft packages to enable production of detailed spreadsheets, org charts, reports.

- Ability to work with multiple stakeholders

- Experience of Facilities Management and / or the Property Industry advantageous.

- Ability to work unsupervised to drive and improve processes and ensure deadlines are met and managed.
