Summary

Main Duties and Responsibilities Communication Foster effective and supportive relationships with divisional workstream leads to enable delivery of agreed outcomes and develop strong and supportive working relationships with Divisions, clinicians and the rest of the multidisciplinary teams. To be able to work with multi-disciplinary teams from across the Trust to deliver the Inventory Management System Implementation work programme. Work closely with all members of the wider teams, to recognise and harness skills and support that can be provided by other teams/individuals to help in the delivery of objectives. Ability to communicate effectively with personnel accordingly to the requirements of the role. Work effectively and collaboratively with clinical and non-clinical areas whilst participating in improvement projects. The practitioner will be required to negotiate, persuade and motivate staff to engage. Provide updates on efficiency, projects and activities to the senior colleagues. Project Planning and Execution: Review overall project mandate and deliverables designed by the Head of Supply Chain. Develop comprehensive gantt charts, including scope, timelines, resource allocation, and budget. Execute projects on schedule, within scope, and within budget. Manage project risks and issues, identifying and implementing mitigation strategies. Service Delivery and Improvement Report to and support the project governance board and stakeholders external to the organisation as necessary. All members of the procurement team will contribute to the delivery of a high quality service incorporating both assurance and improvement elements across the entire Trust aligned with the objectives of the project e.g. Support high level NHS Supply Chain effectiveness initiatives. Provide specialist support and advice on the range of IMS Implementation projects Perform a key role in negotiation, co-ordination and implementation of the IMS. Work in conjunction with Trust Groups, Lead Clinicians and Directorate Clinical Audit Leads to develop a system to address the clinical requirements of the Trust and patient experience . This work aims to improve the quality & effectiveness of patient care., extending across primary and secondary care and collaborating with senior healthcare professionals / managers. Support the Lead within the department with the development & review of core departmental policies e.g. Inventory Management To support procurement and clinical staff to undertake evidence-based decisions. To look for opportunities to develop all areas of work in line with a culture of continuous improvement. To undertake gap analysis and participate in action planning, supporting divisions in the delivery of action plan for ensuring compliance to requirements IMS Implementation. Provide guidance and training for all department staff on relevant areas of specialist work. Support & teach staff to undertake risk assessments of non-compliance of audit standards within project results. Influence change by writing complex reports, executive summaries of project findings, producing PowerPoint presentations, designing posters. Excellent report writing skills required to support staff to develop IMS reports. Proactively manage and adjust personal workloads to respond to clinician availability alongside the requirement for continued productivity. Identify IT solutions to enable data collection for high priority projects to meet the various regulatory requirements. Produce briefing papers for internal and external stakeholders as appropriate. Contribute towards the reporting of Inventory Management System Implementation to the Trust and Commissioners thus ensuring comprehensive provision of information. Represent Trust and/or Unit at external committees on relevant issues. Attend and contribute to Committee meetings as invited. Actively support and undertake work to ensure implementation of the Inventory management System. Provide data and other information to support internal and external reporting, identifying progress against key deliverables and areas of work, key risks and issues for action. Develop, disseminate and monitor the delivery of work programmes aimed to ensure the Trust has an effective programme of project delivery. Ensure programmes of work are reviewed and revised to reflect changes in priorities and expectations at a national, regional and local level. Support the design and delivery of the Inventory Management System and alignment with Procurement and Trust strategic objectives. Manage own workload, balancing competing demands and working to tight deadlines. Establish and maintaining efficient multi-disciplinary communication systems. Participating in divisional/departmental/team and other meetings as necessary, and acting as a representative when necessary at other meetings and forums. Divisional support: The postholder will work with specific division(s) to assist them in ensuring that the project is managed and targets are achieved. This will include new ways of working through active divisional support by undertaking some of the work as necessary in addition to attending meetings and presenting reports. The aim of such supportive actions is to ensure compliance with the desired project outcomes. across the Clinical Outcomes & Effectiveness and Quality agenda. The actions will be beyond advisory reports and will have a focus in ensuing implementation as part of own project management performance. The postholder will be expected to participate in regular (e.g. monthly or as appropriate) meetings with objectives and performance review meetings in order to ensure comprehensive and delivery against the project plan. A framework of activity or action logs will be used in order update progress against individual achievements and that of the team (if applicable).
