Summary


An exciting opportunity has come up on AMU for a ward clerk supervisor.

We are a 73 bedded Assessment Unit covering 2 units A and B.

We admit patients medically unwell patients direct from GP's or the Emergency Department /clinics. The patients are seen, assessed and treated, then transferred or discharged.

We are looking for a motivated individual who will support, supervise and work alongside the current ward clerk team. You will carry out all ward clerk duties as well as leading the admin team.

This will require you to work shifts, including weekends.



1. Assist nursing staff in the reception of patients and relatives to the unit.

2. Clerical duties associated with the admission, transfer and discharge of patients.

3. Enter patient information on a computerised Patient Administration System (P.A.S.)/ electronic bed board.

4. Communicate with patients, visitors and colleagues by telephone, face-to-face or in writing, e mail etc. To maintain of the effective running of the unit.

5. Ensure case notes are efficiently obtained, distributed and maintained.

6. Filing episodic clinical and nursing notes.

7. Filing investigation reports.

8. Request x-rays, pathology reports from the appropriate departments.

9. Communicate/consult with other departments, internal and external to the Trust, in furtherance of the service provided to patients.

10. Make follow-up appointments for patients when necessary.

11. Order and maintain levels of stock stationery, etc.

12. Collect and distribute mail.

13. General office duties e.g., filing photocopying etc.

14. Assisting the Ward Managers/Matron with secretarial duties.

15. Supporting current ward clerks, and training new members.

Manage the ward office on a day-to-day basis.

To arrange and co-ordinate unit meetings and assist in the production of minutes from these meetings.

Provide secretarial support to Ward Managers and senior nurses.

Assess or delegate as appropriate daily administrative workload.

Supervise junior admin/clerical staff to include mentoring of trainees.

Assist nursing staff in the reception of patients and relatives to the unit.

Oversee clerical activities associated with the admission, transfer and discharge of patients, including production of discharge letters to be sent to Primary Care Physicians.

Maintain PAS (Patient Administration System) current and up-to-date at all times.

Communicate with patients, visitors and colleagues by telephone, face-to-face or in writing in furtherance of the effective running of the unit.

Ensure case notes are obtained as soon as possible within the patient journey and are efficiently maintained, including:-

Filing episodic clinical and nursing notes. Filing investigation reports.

Timely coding for discharges

Request X-rays, Pathology Reports from the appropriate departments.

Develop and maintain a comprehensive, up to date and accurate filing system.

Communicate/consult with other departments internal and external to the Trust e.g., Patient Services, Social Workers and Health Visitors, in furtherance of the service provided to patients.

Organise initial assessment or follow-up appointments for patients as instructed by documentation contained within the medical notes.

Order and maintain levels of stock e.g., stationery, dressings etc.

With trained staff check cash and valuables and take to general office.
