Summary


An exciting opportunity has arisen for an enthusiastic individual to join the Ambulance Operational Resourcing and Admin Team, working closely with the other Resourcing Administrators and Operational Station Managers, this busy and dynamic role would be suitable for someone with a keen eye for detail who is able to prioritise effectively and remain calm at all times.

We are looking for someone to work 30 hours per week, Monday to Friday during normal office hours. Working as part of a small team you will be primarily responsible for maintaining the rosters for the Ambulance Emergency Service, ensuring vacant shifts are covered and keeping the HealthRoster system updated with any changes.

The post holder is responsible for central administration within the Isle of Wight Ambulance Service and supporting the Operational Station Managers (OSM) and Clinical Operations Manager through effective delivery of Admin and rostering systems

Key elements of the role are;
• In conjunction with the OSM’s , maintain effective administration systems within the Ambulance Service.
• Assist to the financial wellbeing and sustainability of the Ambulance Business Unit through effective allocation of resources
• Ensuring the accuracy of MAPs systems for the recording of sickness, annual leave and training for all departments covered by the Resourcing Administrators.

Communication and relationships


• Provide reports on highly complex, sensitive or contentious information such as demand pattern information to influence staff rotas.
• Communicate appropriately using electronic formats including word processing and email.
• Ability to persuade staff of the importance of the correct completion of administrative tasks which will require at times tact and diplomacy.
• Provision of accurate data and information to facilitate reporting.
• The post holder is required to communicate effectively and appropriately with a vast range of staff and service users on a daily basis.
• The maintenance of effective lines of communication between the Resourcing Team and all operational areas in order to maintain continuity of service and the efficient use of resources.
• Responsible for responding to communication from staff, both electronically and by telephone.



Analysis and judgement


• The post holder will be able to provide reports on workforce performance relating to capacity and demand of service provision.
• To address staff dissatisfaction within the Resourcing remit and to facilitate resolution or where this is not possible, to escalate to the next level.



Planning and organising


• Plan and manage delegated projects within Resourcing remit, making adjustment to short-term plans when required.
• Provide the OSM’s and Clinical Operations Manager with regular project updates.
• Responsible for arranging short notice cover when required due to service demands, using the most cost effective option available.



Patient and client care


• Incidental contact with patients / clients, assisting where needed.
• Daily contact with staff members and departmental managers via the telephone, in person and by email.



Service and policy development


• Follows Ambulance Service/Trust procedures and policies and is expected to comment on changes in practice within own work area.
• Responsible for the development of procedures in conjunction with the OSM’s and Resourcing Manager within the resourcing remit and for their distribution and implementation.



Managing financial resources


• Responsible for inputting roster data for various departments which could have significant impact on departmental budgets e.g. overtime, bank staff and excess hours. The post holder brings any financial impact data to the attention of the Resourcing Manager





People management and development


• Take personal responsibility to ensure any mandatory training is undertaken. Also proactively identify any personal training required. .
• The post holder will be required to mentor new staff in administrative systems and processes



Information system use and management
• Use relevant IT systems to support the role including Word, Excel, Access, HealthRoster, FastText software and other systems where necessary.
• Extensive use of HealthRoster system including running reports for the Senior Management Team and Resourcing Manager as required.



Involvement in surveys and research


• Research within own area.
• Completion of the Staff survey’s



Freedom to Act and autonomy


• The post holder is required to work on broad occupational and general policies.
• The post holder is responsible for own actions and has the OSM’s available for reference.
• The post holder is required to work without supervision and under own initiative, referring to supervisory post holder as required.
• The post holder requires a degree of initiative, freedom to act and autonomy to fulfil their role.
• The post holder is required to work to deadlines and meet targets within procedural guidelines.
