Hybrid working, flexible office days but expectation to be in the office for initial induction/training

Minute taking skills and experience are essential for this role

A Senior Business Support Assistant, proficient in Excel and with experience of financial reconciliation, is required to join the team. To provide efficient and effective business support processes associated with statutory requirements, including assessments and monitoring and to advise clients in accordance with national and local legislation/policies. Work with and liaise confidently with a range of internal and external agencies to ensure children receive services and gather/monitor appropriate information. To provide comprehensive business/secretarial support for staff.

Key responsibilities:

Responsible for providing a comprehensive range of business support services both administrative and secretarial functions for Officers working within the service, utilising good organisational skills to co-ordinate local and statutory requirements.
Create, develop and maintain information systems and processes including Microsoft office packages to produce reports to assist services and officers across the department.
Support the administration of complex databases ensuring all necessary updating systems are in place, accurate and to ensure effective systems are maintained to allow the supply of information for auditing purposes, allowing the information to be analysed efficiently and effectively across service areas.
Undertake a range of financial routines, including imprest and p-card arrangements and monitor budgets associated with service requirements.
Make diary appointments and arrange appointments and meetings for managers and manage daily routine inboxes for senior management staff.
Responsible for the planning and organisation of meetings, including the preparation of all relevant materials and documentation. When required take accurate minutes and produce post-meeting documentation and support.
Receive and deal with emails, telephone calls as well as ensuring that visitors to the section are dealt with appropriately.
Be first point of contact for enquiries from schools, partners, voluntary and community organisations, agencies and members of the public, including generic inbox management on a daily basis.
Develop and compile reports, integrate and produce statistical analysis for Management and Senior Management and Freedom of Information enquiries.

Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.



Knowledge:

Knowledge of the work of the Department and of the links with other educational establishments and providers.
Awareness of relevant key educational issues in order to progress Officers work.
Knowledge of Equal Opportunity and Child Protection Issues.



Skills & Abilities:

Proficient skills in Excel.
Excellent attention to detail skills and retaining quality whilst working to tight deadlines with high volumes.
Good numeracy and grammatical skills.
Ability to take accurate notes of meetings and type drafts for approval.
Ability to maintain and create Access databases. Ability to use spreadsheets and perform basic data analysis
Good customer care skills with ability to take and convey telephone messages accurately
Good organisational and record keeping skills.
Ability to establish and maintain working relationships and communicate effectively with staff at all levels
Understanding and appreciation of confidentiality.
Evidence of being able to work collaboratively within a team
Ability to work effectively and efficiently whilst under pressure. Ability to meet targets and deadlines.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
