About the role:

Location: Kintore/Hybrid

Hours: Full time 37.5 hour per week

To consistently be in line with our People values, we are hiring for an HR Administrative Assistant to contribute significantly to our ongoing commitment to the services we provide.

As part of the HR team at Motive and reporting to the HR Team Lead, the HR Administrative Assistant will provide first point administrative support within the HR Department. This will support and play a key part in the recruitment, onboarding and induction process, support contracts being issued efficiently and managing internal systems to ensure we are providing excellent service both internally & externally.



About the team:

Reporting into our HR Team Lead Clair, you’ll be joining a small HR team that are hellbent on making a difference for everyone connected at Motive. Through HR & Recruitment, our mission is to help our staff get the most out of working for the business and increase awareness of who we are as an employer. This role will play a massive part in making that happen.

Responsibilities:

Adopting the Motive Offshore Group People Values and ensuring their use is embedded throughout day-to-day tasks and decision making.
Assisting in the New Start Induction and Recruitment process – providing admin support to the Recruiter and HR Co-Ordinators as required with sending out contracts and assisting with onboarding and induction paperwork
Sending onboarding documents via the relevant system (Docusign, HR Partner etc) and follow up with electronic filing as appropriate
Maintenance of the HR inbox ensuring incoming emails are assigned to the relevant HR Team member and actioned accordingly
Assisting with all department systems upkeep, such as HR Partner, Docusign and Trello
Assisting with HR administrative functions, including the collation of Group Newsletter, , Letters of Recognition and Long Service recognition, with guidance from HR Co-Ordinator and HR Team Lead
Assisting in creating and distributing any HR specific project related communications / letters etc with guidance from HR Team Lead
Updating of training records on HR Partner, ensuring that they are categorised and recorded accurately
Assisting with processing of staff benefits (eg gym memberships)
Recording and updating actions in HR Team meetings and other meetings as requested
Develop strong working relations with key stake-holders – clients, colleagues etc.
To be a positive ambassador for Motive Offshore Group Ltd.


Required skills/Knowledge:

Capacity to multi-task with organised approach whilst maintaining a high degree of accuracy
Excellent communication skills and ability to foster effective working relationships both within the HR Team and colleagues throughout the wider Motive Group
Excellent computer literacy with Microsoft Office products, including Sharepoint and ability to learn bespoke Motive systems
Team player
Ability to exercise discretion and maintain confidential information
Ability to display tact and diplomacy when dealing with challenging situations
Self-motivated and ability to work under pressure.
Assertive with a meticulous attention to detail
