Location: Ludgate London
Role Responsibilities:
- Meet and Greet Visitors: Be the friendly face that welcomes guests to our premises.
- Answer Phones and Emails: Efficiently handle incoming calls and electronic correspondence.
- Maintain Meeting Rooms: Keep meeting rooms organized and ready for use.
- Tidy Reception Area: Ensure the reception area is clean and presentable.
- Support Site Security Measures: Assist in maintaining a secure environment.
- Health & Safety Management: Contribute to safety protocols and security checks.
- Administrative Tasks: Handle filing, minute-taking, and other administrative duties.
- Covid-19 Cleaning Regime: Help maintain a safe and hygienic workplace.
- Home Working Administration: Support remote work arrangements.
- Site Pre-Booking Process: Assist in managing site bookings.
- Attendance Reporting: Collate and report daily attendance figures.
- Cloudbooking Software: Support the use of Cloudbooking for meeting room and desk reservations.
- Service Now CAFM System: Input reactive tasks and incidents.
- Courier Services: Book couriers and manage incoming/outgoing mail.
- Post Delivery: Distribute mail to staff members.
- Ad-Hoc Support: Assist the Facilities Management (FM) team as needed.
- Sub-Contractor Coordination: Organize sub-contractor visits and vendor call-outs.
- Emergency Preparedness: Play a role in site evacuations and fire drills.
Essential Requirements:
- Professional Approach: Represent the company with professionalism.
- Ability to Work Under Pressure: Stay composed during busy periods.
- Self-Motivated and Proactive: Take initiative to address tasks.
- Reception/Facilities Experience: Previous relevant work experience.
- Effective Communication: Strong written and spoken English skills.
- Excellent Customer Service: Provide exceptional service to visitors.
- Office Health & Safety Awareness: Comply with safety guidelines.
Desirable Requirements:
- Proficiency in Excel and Word: Familiarity with office software.
- Knowledge of CAFM Systems: Previous exposure to Computer-Aided Facility Management systems.
- Security Systems Experience: Understanding of security protocols and processes.
Working Hours:
- Monday to Friday, (8:30am start doing 8 hour days)
