Summary

Bank Clerical Staff Wanted
The Trust requires clerical staff to join our bank to provide support to various departments around the hospital. Our ‘bank’ operates like an internal agency, booking temporary staff on a flexible basis.

We are looking for people who are looking to work mainly full time hours between the hours of 8:00 am – 5.00 pm, Monday - Friday.

The bank clerical role covers many duties including filing, retrieving notes and preparing case notes quickly and accurately. The role could also include reception type duties as well as photocopying, data entry, typing and general office type duties.

Full training will be provided on our computer systems.

To undertake this role you should have a good basic education and accurate keyboard skills. A flexible approach is essential as you may be required to work in different departments across the hospital. Effective communication skills are essential, as you will liaise with a variety of people to include the general public and hospital staff.

All new staff will be subject to a probationary period covering their first six months in post. Travel between hospital sites may be required.

Providing an efficient reception service to patients and clinicians, contributing to the overall effective running of designated outpatient clinics, wards or departments.

Knowledge of iPM including:
• • Entering of all outpatient referrals onto the outpatient waiting list.
• To generate acknowledgment or invitation letter for patients waiting for appointments.
• Booking of ex-ward follow ups in liaison with ward staff.
• Scanning notes into clinic using the Patient Document Tracking System.
• Booking patients into clinic on arrival onto iPM system.
• Departing patients on iPM system after consultation.
• Making follow up appointments.
• Recording of any patients that “did not attend” clinic and generating appropriate letters.

Knowledge of CMIS system to include:
• • Accurate data entry
• Updating patient details

To answer telephone/patient queries and deal with any issues as required.

To undertake data input duties to ensure computerised records are kept up to date understanding the importance of accuracy at all times.

To be responsible for the timely retrieval and filing of patients notes and X-rays.

To pull notes and X-rays for clinics/admissions and deliver these to the appropriate area.

To prepare case notes for outpatient clinics.

To undertake repair and amalgamations of case notes as required.

To deal with deceased patients notes.

To observe strict confidentiality in all matters concerning patients and visitors.

To assist with general office duties e.g. filing, photocopying, faxing, collating documents and sending out mail etc.

To provide an efficient switchboard service working with all members of hospital staff and members of the public – which may include:
• • Operating both the internal and external paging systems
• Monitoring alarm systems for fire, gases etc and to take the appropriate action as necessary
• Dealing with problems relating to Security
• Issuing and receiving keys and bleeps as required

To provide an efficient secretarial service using knowledge of various software programmes.
• • Knowledge of Microsoft Word, E-mail, Excel, and the hospital Intranet.
• Able to copy type as well as audio type.
• Base knowledge of medical terminology
• Manage manager’s diary and arrange meetings as required

To be aware of Departmental Health and Safety requirements.

To carry out any other reasonable duties as assigned by the Line Manager or Department Manager.
