Summary


Are you looking for you next challenge? Then come and join our vibrant, enthusiastic and dedicated team as an Administration Manager to lead our Specialist Children’s Service based out of Fir Tree House, Upton Hospital.

You will lead and manage the provision of our administration service to embed a robust and continually improving approach, in order to promote the development, welfare and secure the wellbeing of children and young people and their families on a day-to-day basis.

Your role will be to operationally manage the service, provide clear leadership and ensure delivery against our performance goals, work closely with service leads, Consultant Paediatricians the wider multi-disciplinary team and other staff across the Trust. You will provide strong leadership and expert advice and support to your teams in order to ensure the delivery of high standards of care and a quality, patient-centred service with an ethos around continuous improvement.

Not only will you be working toward objectives and targets to ensure these are achieved as determined by National, Trust and Divisional standards, you will need to ensure you are motivated by your drive to deliver the highest quality care while ensuring the best possible patient experience.
• Lead on administration function across Specialist Children’s Service for daily operational requirements and meeting service delivery requirements
• Line management of admin staff inclusive of supervision and appraisals
• Contribute to the delivery of service targets by supporting the senior management team to continually improve performance within the service
• Provide operational expertise and management support to all members of the service.
• Oversee and ensure that the Child Development Centre - Fir Tree House Reception meet the operational requirements and service delivery across children services.
• Ensure that admin systems and processes support the development and implementation of service plans
• Using activity information, actively manage demand and capacity of the service
• Manage and monitor changes to the administrative systems of the service i.e. referrals, EHCA’s etc
• Apply in depth knowledge of the speciality areas and associated waiting list processes in accordance with agreed clinical priorities
• Have full working knowledge of hospital information systems and cascade this knowledge both to admin and clinical staff
• Responsibility for overseeing review lists, caseloads and waiting lists, working closely with clinicians and admin staff
• Responsible for the provision of information to support the activity planning and monitoring processes as service level
• Support the provision of information for service returns i.e. RTT’s, KPI’s, CQUINS, quality schedules and contracting.

The “must haves” for you to be considered for this role:
1. Significant and demonstrable experience in either a PA or Senior Administrative
2. Relevant knowledge and skills to the nature of this role.
3. Experience of line management and supervision of staff including
4. Experience of managing data for performance and reporting purposes
5. Excellent working knowledge and proficiency in the use of Microsoft Office Suite – Outlook, Word, Excel, PowerPoint
6. Able to communicate with a wide range of stakeholders – patients, public, clinical and managerial
7. Proficient IT skills, with the ability to quickly adapt to new technologies.
