The Band 3 Administrator position is available for a highly organised, motivated and enthusiastic person and is located at Mulberry 3, Fulbourn Hospital, Fulbourn, CB21 5EF within the Crisis and Inpatients Admin Hub.

The post holder will provide a comprehensive administrative service Mulberry 3 and other inpatient wards as needed within Fulbourn Hospital.

This role involves data inputting of patient information, face to face and telephone contact with patients and the clinical staff, scanning documentation, minute taking, photocopying, sending and responding to emails, and providing a high level of general administration support to Mulberry 3 inpatient ward and the wider team as needed.

The ideal candidate will have a strong team work ethic, sense of accountability, accompanied by an ability to work under time restraints and pressure at times. This is not an exhaustive list of duties and responsibilities, and the post holder may be required to undertake other duties, which fall within the grade of the job, in discussion with the manager.
1. Typing of letters, summaries and reports, if appropriate.
2. Ensuring good customer service by providing a professional and effective service by dealing with queries from service users, carers or staff in person or on the telephone. Take accurate messages and ensure these are passed on to the appropriate people.
3. Organise appointments and transport for clinics as directed.
4. Carry out any office duties, such as dealing with post and photocopying; be responsible for document filing and ensure that the relevant records are organised, accessible and up to date.
5. Monitor and maintain the departments admin stocks.
6. Arrange meetings as and when required.
7. Accurately input data onto the relevant electronic system, in a timely manner in line with standard operating procedures.
8. Update bed/caseload/zoning boards to reflect live ward/team state as directed.
9. Prepare new information packs when required and monitor supplies of CPFT leaflets to ensure adequate stock levels are maintained.
10. Create and maintain both manual and electronic health records for all active service users and ensure that their location is tracked.
11. Be responsible for filing of all documentation in the clinical notes (if appropriate), in accordance with relevant procedures.
12. Be responsible for daily maintenance and organisation of your team environment (e.g. Front of House / Team Office). Report concerns, incidents and maintenance issues to the relevant individual as required.
13. Provide cover as directed by your manager, for other members of the admin team in their absence and assist with their workloads as necessary.
