Summary


To manage the day to day activities of the staff and work within the Health Records Department and Reception at the Royal Victoria Folkestone Hospital. The role will include organization of own and other team members work along with contact with service users, members of the public and other external stakeholders. There will be tasks which include organizing and effectively using systems both paper based and digitally. Full details of role specific duties are available within the Job Description.

To manage diaries including own and set up meetings as designated by manager.

To collect and collate other weekly and monthly audits as required.

Collecting, sorting and prioritising incoming mail.

To manage the Team who are responsible for dealing with Subject Access Requests, Court Orders, Police and Legal requests and ensure that the Key Performance Indicator of 95 % of requests being dealt with within 30 days of receipt.

Oversee the disposal of patient identifiable documents, to ensure compliance with the General Data Protection Regulation 2018. To ensure procedures around the archiving of a healthcare record are secure and dealt with in a confidential manner.

To ensure staff are carrying out Retention and Disposal duties in a manner that ensures compliance with the NHS Records Management Code of Practice 2021, departmental targets, the Health Records Policy, the General Data Protection Regulation 2018.

The Health Records Department and Outpatients Receptionist are a hard working team who are highly motivated and effective. We have services at 6 sites of the EKHUFT Trust and provide key services within the Patient Pathway for Outpatient, Inpatient, Pre Assessment, Access to Records and Archiving of records.
