About the role

We are looking to recruit a Works Allocation Scheduler to join our friendly team at a prestigious building in Cheltenham to work within the site based operations team ensuring that all Planned tasks are completed. This role is to lead the coordination of contracted supply chain resources to complete Planned and Reactive tasks using the CAFM system and to assist with the scheduling of the Hard FM engineers with planned and reactive works. This is a full-time role working 40 hours per week, Monday to Friday between 7am and 4pm.


Responsibilities

Ensure that Contractors and Suppliers are coordinated to undertake delivery of Planned Preventative Maintenance (PPM) and Repair Work (RW) works.
Manage and interrogate the Computer Aided Facilities Management (CAFM) system.
Report weekly/monthly on all tasks that are not able to be completed.
To ensure that records within the CAFM system are accurate to ensure a full audit trail.
Ensure that the Insurance Inspection regime is maintained.
Co-ordinate the allocation of the Escort team.
Ensure that Contractor Planned Maintenance delivery is effectively scheduled in advance each month/year.
Ensure that CAFM is utilised to appropriately schedule all PPM delivery across the operational team and to work with the management teams to ensure smoothing of workloads.
Provide the appropriate communications to our client (in line with their policy) advising of any works that could have an impact upon Site Operations.
Providing regular updates and reports on performance to the Management Teams.
Processing of supplier paperwork ensuring that the appropriate logbooks are kept up to date for areas of responsibilities.
Identify training and development to support corporate objectives and succession planning.


THE IDEAL CANDIDATE:
We are looking for a positive and proactive individual to work successfully in our team. The candidate will also be organized and resourceful with the ability to work under pressure.


Essential

Good working knowledge of the Microsoft package/IT literate.
Excellent customer service and communication skills.
Ability to work under pressure.
Take ownership and action in a fast paced environment.
Previous experience in a Facilities Environment.
Ability to obtain DV Clearance.


Desirable

Working knowledge of Maximo is desirable although training will be given to the successful candidate.
Producing reports.
