Summary


Band 3 Admin position ideally 3 6hour days a week in busy Children's Speech and Language Therapy Office. The role is based at the Quadrant, Lancing but the post holder may occasionally be required to travel to other locations to support therapists/admin colleagues.

This post is part of a team of 5 admin staff who support the Worthing Children's Speech and Language Therapy (CSALT) service. The successful applicant will have a background in administration, ideally, but not essentially, within the NHS,.

They will be: a team player; well organised with good attention to detail ; able to multi task in a busy office environment; flexible and able to cope with change to planned activity at short notice, including reprioritisation of tasks as necessary. The ability to work under pressure as part of a team will be key, as well as the resilience and maturity to work alone under indirect supervision, on occasion.


Day to day activities will include working with colleagues under the guidance of the admin lead to maintain the efficient running of the C-SALT service: managing appointments; responding to queries from families; dealing sensitively with complaints; liaising with Speech and Language Therapists and other professionals; use of System One Electronic Notes; Microsoft Office (Outlook, Teams, Word); scanning, photocopying, and general admin tasks.

The post holder will:
• provide admin/secretarial support to the CSALT service under the guidance of the Admin Lead, but also using own initiative in her absence.
• deal effectively, sensitively and diplomatically with incoming calls, from the public, NHS staff and outside professionals, using personal skills and judgement, ensuring that urgent matters are attended to in a courteous, appropriate and confidential manner. Detailed and accurate message taking is essential.
• be the first point of contact for the Speech & Language Therapy Service. To liaise with the therapy team regarding complaints and queries received by phone.
• process and register new referrals to the service, ensuring criteria is met
• assist in ordering stationery and equipment for the service as needed
• distribute letters, reports and programmes in a timely manner
• advise the Admin Lead/Clinical Service Managers on quality issues relating to admin systems and procedures
