Summary

We are looking for a Receptionist with previous administration experience to join our administration team within the Department of clinical Haematology.

You will provide a comprehensive and high-quality administrative service as part of Haematology Outpatient Services within In-Patient Medical Specialities Clinical Service Unit at Manchester Royal Infirmary in accordance with relevant policies, procedures, protocols, and guidelines.

The post holder will be required to work as part of a team as well as independently. The nature of the work requires good organisational skills and a pleasant telephone manner, together with the ability to prioritise a demanding workload and communicate at all levels.

The post holder will also be required to prioritise workload, be flexible, maintain confidentiality, have excellent communication skills (both written and verbal).

Attention to detail is essential. You must be proficient in the use of Microsoft Office software with the ability to pick up computer processes/systems quickly.

Our aim is to continually improve patient services and as such having robust administrative support under the guidance of an enthusiastic team leader with a professional approach is essential.
• Provide administrative support to the main reception area.
• Deal with patients, visitors, and staff from across the Trust and external on arrival in the department.
• Liaison with Consultant, Specialist Doctor, General Practitioner, and other Health Professionals.
• Recording of attendance/DNA's on Epic.
• Scheduling appointments.
• Take messages and telephone calls from staff, patients, relatives and other liaison with internal and external departments or organisations and deal with their enquiries, referring on where required.
• Organising Ambulance transport and Interpreters.
• Organising Currier's for samples to be sent to other organisations.
• Assist in the training of new staff members as appropriate.
• Photocopying/signing for deliveries as appropriate.
• Responsible for completing work in a timely manner consistent with departmental practice or protocol.
• To work in a manner consistent with Trust and local policies and procedures, protocols etc.
• Data entry and retrieval from databases / core clinical systems.
• To work flexibly across the service as required.
• To act as a focal point of contact for people visiting Haematology Outpatient Services
• Manage the day-to-day running of the Main Reception Area, dealing with all enquiries in person or by telephone or email.
• To undertake and cover any other clerical duties as and when required to maintain the administration service to the department.
